Under the direction of the Vice Chancellor for Academic Affairs (VCAA), the Administrative Assistant to the VCAA is responsible for complex, confidential, and administrative support for the VCAA and provides information and assistance to faculty, staff, students, state and local agencies, regulatory and accrediting agencies.
The Administrative Assistant to the VCAA must possess a thorough knowledge of college operations and procedures.
Hourly Wage: $17.25
1.
Organizes and coordinates support activities for the office of the Vice Chancellor of Academic Affairs, including events for students and staff
2.
Serves as contact person for Vice Chancellor's office to internal and external partners including Directors, Department Heads, Faculty, Staff, and Students
3.
Utilize Microsoft Office, Google Suite, and other campus-specific applications in support of the Academic Affairs department
4.
Utilize the campus' reporting software to research, compile, and summarize data for the Vice Chancellor on weekly, monthly, quarterly, or yearly basis as needed
5.
Monitors e-mail and Teams and composes and/or prepares internal and external communication as needed
6.
Organizes and maintains filing system
7.
Serves as backup for Academic Assistants and assists with execution of faculty contracts
8.
Provides faculty and staff members with pertinent information relating to forms, procedures, deadlines, etc., in a timely fashion
9.
Monitors annual budget and oversees purchasing processes for the Vice Chancellor
10.
Using Workday, processes travel requests, vacation requests, reimbursement forms, and purchase requisitions for the office of the VCAA
11.
Coordinates special projects, meetings, and/or events as needed
12.
Coordinates agendas and takes minutes for meetings when requested
13.
Process Third Time Requests from students to repeat a class
14.
Performs other duties as logically assigned

* High School Diploma or equivalent required, associate's degree or higher in business administration, office administration, or similar preferred
* Experience working with executive level management required
* Five (5) years related work experience preferred
* Must be proficient in Word, Excel, PowerPoint, and Google Suite
* Must possess excellent communication skills, attention to detail, critical thinking and time management skills
* Ability to work well with a variety of people from differing backgrounds
