Purpose:
The Billing Specialist is responsible for processing annual, monthly, and prorated maintenance fee billings, Club dues and penalty fee billings, according to each association's Assessment, Billing and Collections policy.
They will be accountable for managing the approvals from each association and coordinating with the mail vendor to send statements to owners promptly.
Additionally, the Billing Specialist handles reconciling inventory to ensure accurate billings, while coordinating with each association in preparation for budgets and actual billings.
Responsibilities:
Process month-end and month-beginning tasks, such as run queries, review vacation points allocationPrepare unit analyses and enter data into Cognos-TM1 for budgets and actual billingsResponsible for annual and monthly maintenance fee billings, and penalty fees billingsPost prorated maintenance fees and allocate vacation pointsResearch and resolve owner issues within the established response timePrepare and distribute aging and delinquency reportsCoordinate with various departments to resolve complex issuesProcess deed backs, mortgage defaults, cancellations, and reinstatements of accountsIdentify and report recurring issues and trendsDaily, monthly and ad-hoc reconciliations and reportingMaintain continuity of owners informationProvide owner's information lists for board meetings and proxy mailingsReview vendor invoices, enter data in the Payables system, obtain approvals and report paymentsPerforms additional tasks as assigned
Requirements:
Associate degree or two-year technical certificate preferred.2+ years billing and administrative experienceIn-depth knowledge of MSOffice Suite, specifically in Excel.
Experience with AS400 a plusExtraordinary attention to detail with strong analytical and problem-solving skills.Excellent interpersonal communication skills to work effectively with all levels of the organization.Ability to lead by example and take active ownership and accountability with projects and apply received knowledge.Ability to multi-task high priority projects with competing deadlines.
