We believe in transparency, customer satisfaction, and fostering a positive environment for both our team members and clients.Position Overview:Courtesy Chevrolet, a Courtesy Automotive Group dealership, is seeking a Bodyshop Office Assistant to join our team. The ideal candidate will have excellent communication skills, a strong ability to multitask, and a passion for providing exceptional customer service. This role is crucial in ensuring the smooth operation of our office and supporting the overall efficiency of our shop.Key Responsibilities:Maintain accounts receivables and payables, and ensure monetary transactions adhere to company standards.Process repair orders, insurance requirements, and checks for assigned accounts.Monitor account bank statements, record receipts, handle banking and credit card transactions including daily deposits and electronic postings.Review and close invoices, ensuring all information is accurate and matches.Attend meetings to review shop progress and paint performance based on paint mix.Maintain accurate and timely accounting for all sales, production costs, overhead expenses, and balance sheet items.Ensure timely billing to insurance carriers and other responsible parties.Assist with flagging technicians, answering customer inquiries, and performing customer follow-up calls.Maintain employee personnel files and assist with payroll functions.Collaborate with OEM manufacturers to maintain shop certifications.Assist in marketing efforts and maintaining the Body Shop website.Ensure compliance with OSHA regulations.Perform other duties as requested by the Body Shop Director.Qualifications:Previous administrative experience in an Auto Body Shop administrative role or a similar position.Ability to perform work safely.Effective at organizing work, prioritizing objectives, and exercising independent judgment.Proficient in communicating by phone, in person, and in writing.Capable of producing accurate reports under time pressure, as needed.Intermediate knowledge of internet software, inventory software, CCC One, word processing software, and order processing systems.Able to read, analyze, and interpret general business periodicals, professional journals, technical procedures, and governmental regulations.Competent in writing reports, business correspondence, and procedure manuals.Skilled in presenting information and responding to questions from managers, clients, customers, and the public.Proficient in working with mathematical concepts such as probability, statistical inference, fractions, percentages, ratios, and proportions.Strong common sense for understanding and executing instructions furnished in written, oral, or diagram form.Capable of dealing with problems involving several concrete variables in standardized situations.English (Required).Schedule:* Monday - Friday 9am - 6pm.What We Have To Offer:Competitive compensation.PTO and sick time.Employee discounts.Comprehensive benefits such as health, dental, and vision insurance.Company sponsored life insurance.401(k) retirement savings plan.Opportunities for career growth and advancement.Values-driven culture built on professionalism, integrity, and a fun family atmosphere.Apply With Us:If you are ready for a rewarding career and opportunities for career growth and advancement, then consider joining the Courtesy Automotive Group family.
