Position Summary: As a Centralized File Coordinator, you will play a crucial role on Elmington's Centralized Operations team, focusing on preparing new move-in and recertification files for affordable housing communities across the nation. This position emphasizes gathering, verifying, and organizing all necessary paperwork, such as income documents and tenant records, from the applicant directly before files are submitted to the compliance team for final approval. With an emphasis on accuracy, communication, and collaboration, you'll support both applicants and internal teams in the application process, making sure each step is smooth and seamless.
In this role, your contributions will directly support multiple properties, helping to maintain occupancy rates and aligning with broader organizational goals. Working within the Centralized Operations team, you'll be part of a fast-paced, innovative environment that values efficiency, clear communication, and exceptional service.
Hours of Operations: Our Centralized Leasing Center's operating hours will be Monday to Sunday from 9AM to 9PM. This position is NOT remote; all team members will work from our corporate office in Nashville, TN.
To be an effective Centralized File Coordinator at Elmington, you will need: Customer-Centric: Deliver exceptional customer service to applicants through clear communication and quick responses to messages and calls. Detail-Oriented: Ability to manage complex documentation and compliance requirements with precision, ensuring accuracy and timeliness in all tasks. Tech-Savvy: Proficient with property management software, CRM systems, and digital communication tools, with the ability to adapt quickly to new technologies. Problem-Solving Skills: A proactive thinker who can quickly offer solutions to challenges related to leasing, compliance, and resident concerns. Team Collaboration: Works effectively within a centralized team, sharing insights and collaborating to achieve common goals. Empathy and Communication: Excellent interpersonal skills to build rapport with prospects and residents, providing them with a supportive and engaging experience. Adaptability: Flexibility to adjust to the evolving needs of multiple properties and a dynamic leasing environment. Your Responsibilities: Collect and verify applicant documentation for completeness and accuracy. Prepare files for compliance review and ensure documents meet initial standards. Maintain organized digital records of all applicant files. Communicate with applicants via phone, email, and text to provide updates and answer questions. Guide applicants in submitting required documents and follow up on missing paperwork. Collaborate with property teams to ensure document requirements are met. Coordinate with compliance specialists for smooth file transitions. Log applicant interactions and file updates in Elmington's CRM. Track file progress and identify opportunities to improve efficiency. Perform other duties as needed to support the overall objectives of the department. PREFERRED QUALIFICATIONS: Minimum of (2) years of experience in HUD or Tax Credit Housing property management or compliance. Customer service experience. Ability to understand and carry out industry-specific written and oral direction with a positive, innovative approach to problem-solving. Presents information in a clear, concise, understandable, and organized manner; negotiate, persuade, and modify opinion to reach the goals/objectives of the organization. LOCATION and TRAVEL: This position is based at our Nashville, TN corporate office. Must be willing to travel up to 10% of the time annually. PHYSICAL REQUIREMENTS: Prolonged periods sitting and/or walking. Must be able to lift 15 pounds at a time. The Elmington Experience: We're creating a different kind of company at Elmington.
