Civil Legal Secretary Location Hybrid remote in Minneapolis, MN : Position Description This position will act as secretary for the Deputy City Attorney, Criminal and provide high level clerical and administrative support in a legal office working closely with the operational activities and/or providing technical assistance to staff. Work Location This position may be eligible for flexible work arrangements, including hybrid work with some days working remotely and some days working in the office.
Job Duties and Responsibilities Maintain complex filing system, keeping files up-to-date and easily accessible for meetings, review, etc. Receive and distribute mail, redirecting to other staff or forwarding if needed. Responsible for maintaining calendar; coordinating, scheduling and cancelling meetings, setting up interviews, depositions and trial preparation meetings. Accessing records and creating detailed records and case information, locating files and solving problems, transcribing statements, calls and interviews. Responsible for inputting, updating, correcting and deleting data in Practice Manager. Schedule and coordinate Continuing Legal Education (CLE). Proofread all documents to ensure proper legal format and spelling and grammar, names, dates, and/or case citations, etc. File documents with or send to or deliver personally to the appropriate Court, agency, individual, or attorney. Prepare the initial set up of legal documents such as memorandums of law, answers to complaints, discovery requests and appellate briefs and tables, and various trial and court documents. Set up subpoenas and witness fees. Assist in setting up the moving of trial materials to court. Run pre-designed quires to search, sort, and retrieve specific matter status reports and download the information into Excel spreadsheet format, making modification as required. Set up depositions and prepare notices of depositions. Assist and support paralegals and attorneys as needed. Produces information by transcribing, formatting, inputting, editing, copying and creating graphics in support of case preparation. Schedules couriers and court reporters. Coordinate trial preparation and the movement of trial materials including technology to various court rooms. Required Qualifications Minimum Education High School Diploma or equivalent. Minimum Experience Three years of high-level clerical support experience in a legal secretarial environment which provides exposure to legal terminology, legal practices and procedures, and secretarial skills. Equivalency An equivalent combination of education and experience closely related to the duties of the position MAY be considered. Selection Process The selection process will consist of one or more of the following steps: a rating of relevant education and experience and/or an oral examination (100%). It is important that your application show all the relevant education and experience you possess. This information will be used to determine which candidates will proceed in the selection process. A submitted application is also used to verify the answers to any supplemental questions. Only those candidates who attain a passing score (70%) on each step in the selection process will be placed on the eligible list. The City of Minneapolis Human Resources Department reserves the right to limit the number in any phase of the selection process. Background Check The City has determined that a criminal background check and/or qualifications check may be necessary for certain positions with this job title. Applicants may be required to sign an informed consent form allowing the City to obtain their criminal history and/or verify their qualifications in connection with the position sought. Applicants who do not sign the informed consent form will not be further considered for the position. Union Representation This position is represented by a collective bargaining agreement between the City of Minneapolis and the American Federation of State, County, and Municipal Employees (AFSCME). Eligible List Statement The names of applicants who meet minimum qualification and who pass the screening process shall be placed on the eligible list for employment consideration. This list will be certified to the hiring manager who may use the list to fill a vacancy of the same job title. This eligible list will expire in two months after it has been established. Interview Selection The hiring authority reserves the right to determine the maximum number of candidates to interview from the established eligible list. If the hiring authority decides to interview other than by exam score order, they may select additional people to interview based on a candidate's education or experience related to the field, work history, or skills uniquely related to the operational needs of the position.
Knowledge, Skills and Abilities Business College or Legal College training preferred. Proficient in the following computer programs Practice Manager, Microsoft-Office, CAPRS, MNCIS, DVS, SILS, Hennepin County Jail Roster, Vibes, MPD Workforce Director, DOC, NCIC/CJIS. Attain and maintain certification for accessing Federal Criminal Justice Data Network. Extensive knowledge of law practice. Ability to produce and proofread a variety of legal documents. Ability to organize and prioritize work. Ability to maintain confidentiality. Ability to work under pressure and meet deadlines. Knowledge of office policies and procedures. Communication skills and the ability to work with City employees, outside agencies and the public. Ability to pass a criminal background check.
