Job Summary/Description: Under general supervision, manage all aspects of the Call Center as well as the production and dissemination of print communications output from the CRM system to prospective and currently enrolled students.
Regular hours for this position are 9:00 AM – 6:00 PM, Monday – Thursday and 8:00 AM – 5:00 PM, Friday. Typical Duties/Job Duties: Work closely with the Assistant Director to manage operations of the Call Center by; Creating strategic calling plans in conjunction with the recruitment plans of the Office of Admissions; Developing calling campaigns that support electronic and digital campaigns; Creating and editing reports and dashboards; Analyzing data and calling plan strategies, working with supervisor to improve strategies; Writing, building, and editing call scripts. Manage student telecounselors in the Call Center and output production by; Hiring telecounseling team with appropriate communication skills and a passion for Angelo State University; Understanding the administrative processes of the Office of Admissions and training student staff; Working with each telecounselor to set goals, work on calling styles and strategies, and providing frequent feedback; Promoting a sincere desire to assist prospects and recruit them to attend ASU; Promoting healthy competition between telecounselors on moving students through the recruitment funnel. Coordinate and facilitate printing and mailing of CRM generated communications by; Using word processing software, Salesforce Customer Relationship Management (CRM) system, and mail machines of moderate difficulty to print, sort, and distribute outgoing mail; Proofreading outgoing mail for address deficiencies, accuracy, and clarity; Creating and modifying communication output from CRM as appropriate; Organizing, documenting, and preparing bulk mailings; Acting as the primary liaison for the post office; Monitoring and maintaining an inventory log of print publications and notifying assistant director when inventory quantity reaches re-order level. Other; Participating in meetings, committees, and special projects as appropriate; Supporting institutional, divisional and departmental objectives; Participating in all staff professional development and training opportunities; Participating in other duties as assigned. Knowledge, Skills and Abilities: Excellent communication skills specifically telephone etiquette, supervision, training, and administrative responsibilities; Advanced knowledge of and proficiency in utilization of Customer Relationship Management tools; Ability to manage multiple simultaneous projects and priorities in an effective and efficient manner; Ability to work under pressure, meet deadlines and support telecounseling team to do the same; Ability to think critically and troubleshoot; Ability to work effectively with a wide variety of individuals; Excellent technical skills including the ability to query data, understanding flowcharts and process flows and procedures; Dependable and professional with a focus to provide excellent customer service for students and visitors. Minimum Qualifications: Bachelor's degree plus one year experience in admissions, recruiting, enrollment management, marketing, or an equivalent combination of education and experience sufficient to successfully perform the essential functions of the job. Preferred Qualifications: Experience in a call center is preferred. Supervisory experience is preferred. Physical Requirements: Ability to operate a motor vehicle and a valid driver's license. Sitting, standing, walking or moving about. Ability to lift between 20 and 50 pounds. Repetitive use of hands and arms.
