Contract Administration Clerk
Brown Root is seeking a contract administration clerk with strong communication and coordination abilities to support the contract administration team located at the DuPont Newark E I Site.
Role Responsibilities
Understand site policies and procedures and knowledge of service providers' roles.
Support the Contract Administration work processes-Manage supplier safety approval process
-Execute contractor badging
-Escort contractors that are not badged
-Ensure contractors are up to date on site orientation
-Support contractor exposure hours program
-Perform time verifications/gate log checks
-Track post-job evaluation process
-Enter purchase requisitions/purchase orders
-Troubleshoot invoicing issues
-Maintain distribution/contact lists
-Compose and send communications to contractor distribution list as needed
-Update contract administration process documents as required
-Support manager in report development, document managing, writing communications, etc.
-Support capital projects for administrative tasks including, spare parts set up requests and supporting project cost controls team
-Write PO's for capital and day to day projects.
-SES entry support in SAP P23, SAP P80 and S2P
-Pull reports from ISNETworld for contractor grades and review service requisitions with site CA guidance Event Coordination (20-50%)o Manage site business requests to host events on site.
Attention to avoiding scheduling conflicts.
Requires communicating and sometimes negotiating with business leaders to ensure we meet their needs.o Walkdown event locations with business hosts to show available spaces and configurations Small understanding of available AV systemso Coordination of contracted services for events
o Participate in set-up and breakdown of events Strong communication skills and intermediate computer/application skills:o Ability to create/manage documents and communicate using Microsoft Office - Word, Excel, PowerPoint, Outlook, and Teams
o Maintain lists for tracking of processes/programs mentioned above
Requirements QualificationsPre-Employment Drug Screen Background Check Required Minimum of a high school diploma/GED equivalent.
Intermediate software/computer skills required (.Microsoft Office Suite and ability to quickly learn new tools/programs) High attention to detail with excellent organization and planning skills.
Effective interpersonal, networking and written/verbal communication skillsIndividual will interface with various levels of leadership, site residents and tenants, etc.
Ability to combine communication, organization and software skills to compile data, generate spreadsheets, and prepare correspondence and presentations.
Independent work and teamwork/collaboration skillsDemonstrated self-managed skills; requires little or no supervision.
Ability to take ownership, initiate and establish priorities. Knowledge or ability to become knowledgeable of Corporate policies, practices, and procedures.
