Position Summary:The Destination Experience Manager curates, oversees and executes positive and influential destination experiences for conventions and meetings clients resulting in new and repeat bookings for Visit Dallas partners. The person in this role fosters lasting internal and external relationships that assist in ensuring memorable client engagements and events that enhance the meetings industry in Dallas.
Essential Role and Responsibilities:Manage and assist with all aspects of client Site Inspections with Sales Team members including execution of site inspections and not limited to maintaining effective partner and client communications, curation of engaging agendas, coordination of activity logistics, and oversight of amenities/gifts.Develop, manage and assist with execution of client Familiarization tours (FAMs) including but not limited to venue sourcing, client air and ground transportation and meal logistics.Serve as onsite client liaison with partners and clients during Site Inspections, FAMs, and other events and activities.Assist in the development and management of department budget and expenses.Utilize Customer Relationship Management (CRM) system for tracking/tracing all client communications, agendas, notes, and report department KPIs and goals.Additional Responsibilities:Create client engagement tools including maps, PowerPoint presentations, and other items.Source, purchase and maintain inventory of Visit Dallas branded amenities and promotional items.Serve as onsite backup as lead at tradeshows and events as needed.Participate in special projects as needed.Contribute to the organization's positive culture.Other duties as assigned by supervisor.Expected Competencies, Performance Attributes and Characteristics:Ability to foster new and maintain professional relationships.Ability to prioritize competing deadlines and handle matters expeditiously, proactively, and follow-through to successful completion.Superior communication and interpersonal skills with all levels of management, clients, stakeholders and business representatives.Understanding of the City of Dallas convention and hospitality community and products including hotels, meeting spaces, other venues and restaurants.Intermediate to expert proficiency in Microsoft Office suite (Outlook, Word, PowerPoint, and Excel) and CRM database systems.Excellent attention to detail with a focus on accuracy while meeting deadlines.Ability to anticipate needs, exercise good judgment and work independently with minimal supervision.Ability to maintain and demonstrate a positive and professional demeanor when interacting with stakeholders, clients, staff and partners.Desired Education and Experience:Five years' experience in a client engagement and support role.Practical experience in meeting and event planning, management and services.Proficiency in understanding data gathering and analytics including intermediate experience working with Customer Relationship Management (CRM) systems.Work Environment and Physical Demands:The person in this role will mostly operate in an office environment with frequent and consistent use of a laptop computer, monitor, keyboard, mouse, cell phone and copier. It is largely a sedentary role with extended work time sitting and using computer accessories. There will be occasions working at off-site locations including the convention center and hotels where the environment will vary.
Expected Hours of Work:This is a full-time position with an expectation of 40+ hours of work each week. The regular office hours are Monday through Friday 8:30am to 5pm. Evening and weekend work and participation in events that occur outside of the regular office hours is expected regularly.
Expected Travel:The person in this role can expect up to 40% local travel (within the City of Dallas) and may require travel on occasion outside of Dallas and the immediate driving area to attend industry meetings, conferences, and other events or activities. A valid Texas Driver License and good driving record are required. The person in this role is expected to have a well-maintained 4-door vehicle with the ability to transport customers and be willing to drive clients to site locations.
