The Site Operations, Maintenance, and Support team within the Facilities and Site Services (F&SS) organization at Idaho National Laboratory (INL) is seeking forward-thinking professionals interested in exploring a career as a Divisional Administrative Assistant.
Our team works a 4-10 schedule located at our Central Facilities Area with every Friday off!
Responsibilities: Provide administrative support to the Division Director of Site Operations, Maintenance, and Support (SOMS) along with administrative support to additional direct report managers and staff located at the INL Central Facilities Area (approx. 55 miles West of Idaho Falls, Idaho). Monitor, organize, and balance administrative/technical work within the organization. Demonstrate professionalism, confidentiality, sound judgment, and appropriate protocol while performing job functions. Serve as a source for administrative/technical knowledge for questions, issues, etc. in support of organizational objectives. Use company knowledge and ingenuity to resolve complex problems within area of administrative/technical activities. Prioritize and balance daily tasks, assignments, and long-range requests. Organize and effectively plan and prioritize work assignments to ensure high quality products that utilize and comply with laboratory standard software. Work independently or on a team with minimal supervision to accomplish a variety of self-initiated as well as directed work activities. Routinely collaborate effectively with management, peers, co-workers, and customers across the laboratory, as well as with external customers in support of organizational objectives. Provide administrative functions to the Division Director and staff, including composing/preparing internal and external correspondence, reports, and presentations, and acting as procurement agent using I-buy or government P-card for purchasing items such as office supplies, publications, software/hardware subcontracts, service subcontractors, materials for engineering projects, etc. Arrange meetings, take phone messages, maintain calendars, prepare, monitor, and coordinate travel and travel expense reports. Facilitate personnel moves, phone requests, and other maintenance and service requests, and prepare technical reports and other project deliverables as requested by management. Maintain intra- and inter-organization communications and files in compliance with the Uniform File Code System. Independently manage workload and implement laboratory procedures, requirements, and policies that pertain to the Division. Assist in training and mentoring department level administrative assistants, as required. Assist in work control, when Division Director deems necessary, and hold the records coordinator qualification for Division Directors organization. QUALIFICATIONS Minimum Requirements: High school diploma, or equivalent, and 2-4+ years of relevant experience. Ability to demonstrate proficiency with standard office equipment and use of MS Office Suite. Ability to prioritize work, coordinate calendars/schedules, and be responsible for commitments and action items. Thorough understanding of office support functions and ability to effectively apply procedures, and direct and delegate workflow of others as appropriate. Ability to identify potential administrative problems/areas for continuous improvement, recommend solutions and direct implementation, use discretion and sound judgment, positively interact with a wide variety of INL staff and clients of all levels, resolve and/or advise management on a wide range of administrative issues, and provide training and guidance to less senior or new staff when necessary. Ability to set and coordinate administrative priorities and effectively communicate information within and for the Division. Ability to independently make decisions and respond to a wide range of actions and/or inquiries based on business knowledge, and thoroughly understand INL and the reporting requirements of the Division. Demonstrated oral and written communication. This position requires the ability to obtain and maintain a Department of Energy "L" clearance, which requires US Citizenship. Preferred Requirements: High school education and 9 or more years of progressively responsible administrative-related experience, or Vocational School and 7 or more years of progressively responsible experience.
