Reporting to the Manager, Procurement, the Fleet Operations Administrator role is responsible for all organization-owned/leased vehicles across the organization's multiple legal entities throughout North America and within our region's international locations. The role will be responsible for administrating and coordinating motor vehicle fleet operations for a fleet of approximately Responsibilities: Work with Fleet Management Company to ensure fleet needs are managed satisfactorily (registration renewals, accident, and maintenance processing) Set up/maintain drivers in the fleet management portal. Run replacement analysis reports and make recommendations for trade ins. Enter Direct Factory Orders Locate vehicles at dealerships, negotiate pricing, execute stock purchasing process. Arrange vehicle pickups, transfers, and trades. Review and approve repair requests. Execute Vehicle Sales Forms Assist drivers with accident & maintenance questions. Work with auto insurance company on accident claims (provide First Notice of Loss and repair estimates as needed) Work with our auto insurance company to facilitate insurance renewals, obtain new Auto ID cards as necessary and distribute them to drivers. Review monthly fleet invoices and execute conformity checks. Maintain vehicle activity log and review with Fleet Management Company bi-weekly. Coordinate international fleet guidelines for consistency across applicable subsidiaries and branches. Prepare RFP and/or handle fleet management contract negotiations. Explore Fuel Card, Toll Management, Sustainability and Driver Safety programs (resulting in insurance savings) Complete, execute and manage Fleet policy. Facilitate and/or partner with others on special projects as assigned. Some travel may be required Qualification Education and Experience: High school diploma or equivalent required. College degree in Business Administration, or related field, desired 1-3 years related experience preferred with fleet management/administration. 2- 5 years in an office / corporate environment. Familiarity working with insurance companies (accident management, claims, etc.) preferred Experience with fleet management system (E-Plan, Wheels, etc.) a plus Specific Skills, Knowledge and Abilities: Excellent verbal and written communication skills. Excellent organizational skills, attention to detail and accuracy Strong analytical and problem-solving skills. Ability to prioritize tasks, meet deadlines and adapt to a fluid environment. Ability to establish and maintain effective relationships with internal customers and colleagues. Proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint, Teams), experience with the advanced functionality within Excel.
