This position supports Spreckels Sugar Company, Inc. (SSCI) human capital management needs including core employee data, timecards, pay data and participating in bi-weekly payroll activities. The employee must cultivate and maintain strong working relationships with a variety of audiences, including union and non-union employees.
Essential Functions: HRIS System MaintenanceResponsible for processing changes in UKG related to new hires, changes in job classification or type, terminations and other employee information.Responsible for ensuring timecards are approved by all supervisors each week, and preparing time files for payroll on a bi-weekly basis. This requires:Ensuring meal premiums are processed when employees do not take their full break, or are prevented from taking a meal break.Ensuring final checks are processed for terminated employees on the day of termination.Appropriate pay codes are assigned (regular, overtime, sick, etc.).Ensures accuracy of time files before being sent to the finance department to process payroll.Prepares retroactive pay files for finance as needed.Manages other issues with timeclocks/timecards, pay, and time off as needed.Ensuring employees are assigned to the correct shift.Ensures employee data is compliant with the Collective Bargaining Agreement.Monitors and manages employee attendance and sends out discipline forms to supervisors to give to their employees when violations occur.Participates in auditing the system for compliance in areas including but not limited to the Patient Protection and Affordable Care Act, Equal Employment Opportunity, and I-9 Employment Verification.Collective Bargaining Agreement Interpretation and ApplicationInterprets articles from the collective bargaining agreement to assist employees with questions relating to hours worked and compensation, position postings and awards, and various other topics relating to the collective bargaining agreement.Additional ResponsibilitiesRemains current in applicable federal and state employment laws and rulings.Communicates with employees, applicants, and the public for the purpose of providing information and assistance concerning employment, personnel records and employment verification.Scans or files paperwork and maintains records.Organizes employee appreciation activities.Core Competencies and Skill Requirements: Broad understanding of general human resource practicesKnowledge of labor laws and regulations to recruit and retain personnel and properly review and audit compliance programs.Demonstrated critical thinking skillsAbility to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.Ability to listen to and understand information and ideas presented through spoken words and sentences.Ability to read and understand information and ideas presented through written sentences and paragraphs in work-related documents.Strong conflict management and resolution skillsAbility to define problems, collect data, establish facts and draw conclusions.Ability to handle complaints, settle disputes and resolve grievances and conflicts; negotiates with internal and external audiences.Excellent written and oral communication skillsAbility to develop interpersonal relationships to be the go-to person for employee questions and vendor relationships.Ability to document information in a logical, sequential manner.Ability to have a high attention to detail.Ability to communicate with employees, vendors and others to answer questions, disseminate or explain information and address complaints.Personal commitment to data sensitivity and integrityAbility to maintain a high level of interpersonal skills to handle sensitive and confidential situations.Proficient in Microsoft Office productsAbility to create and edit Microsoft Word documents.Ability to design formulas and manipulate data in Microsoft Excel, including merging data and using pivot tables.Ability to develop training material using a variety of mediums including PowerPoint.Strong work ethicAbility to maintain a satisfactory record of attendance and conduct.Ability to work overtime, as required.Required Education and Experience: High school diploma required; Associate's degree in Accounting, Finance, HR or Business Administration preferred but not required.3-5 years of experience managing HRIS data and processing payroll (timefiles). Preference given to candidates with UKG and WFM experience.Experience working with a union is a plus.Ability to speak English and Spanish a plus.
