Job Title: Legal Assistant Location: Coconut Grove, FL Job Overview: We are seeking a highly organized and detail-oriented Legal Assistant to join a Law Firm in Coconut Grove. This role will support attorneys in managing client matters and ensuring efficient case handling from initial client contact through trial preparation and file closing. The ideal candidate will possess strong communication skills, a proactive approach to tasks, and proficiency in legal software, particularly Litify. Key Responsibilities: Client Intake and Documentation: Complete intake sheets and gather necessary documents from clients (e.g., driver's license, power of attorney, death certificate, injury photos, will). Schedule and calendar initial client introductory calls with attorneys. Correspondence: Prepare and send initial letters to clients and facilities, including client letters, lien rights, insurance disclosures, and thank you notes to referral attorneys. Save original and final PDF versions of documents in Litify. Medical Records Management: Request and track medical records, bills, and other relevant documents from facilities and providers using Litify. Follow up on requests and maintain up-to-date records. Investigation Requests: Send requests to HRS/DCF, AHCA, and CMS; track and document progress in Litify. Expert Coordination: Follow up on expert reports and addendums, ensuring all correspondence is documented in Litify. Calendar Management: Enter all relevant deadlines and reminders in Litify and Outlook, including statute of limitations and discovery responses. Schedule and confirm various events (client conferences, depositions, mediations, etc.), ensuring all necessary attendees are secured. Legal Document Management: Draft and file standard pleadings and notices, ensuring compliance with legal protocols. Manage turndown letters and service of Notice of Intent (NOI) to defendants, tracking service dates in Litify. Probate Assistance: Facilitate communication between clients and probate attorneys, ensuring all necessary documentation is completed. Communication and Document Distribution: Send courtesy copies of relevant documents to clients, experts, and opposing counsel. Handle incoming calls, documenting all communications accurately. Trial Preparation Support: Assist in preparing for trial by scheduling meetings, drafting subpoenas, and coordinating logistics. Settlement and File Closing: Manage the settlement process, including scheduling deadlines, confirming vendor payments, and preparing disbursement checks. Record Keeping: Maintain organized files both physically and within Litify, ensuring all documents are properly named and saved. Generate monthly expense reports and assist with invoice processing. Qualifications: High school diploma or equivalent; associate degree or paralegal certification preferred. 2+ years of experience in a legal assistant working in Nursing Home Claims. Fluent in English and Spanish. Proficiency in Litify or similar legal management software. Excellent organizational and time-management skills. Strong verbal and written communication abilities.
