This role is pivotal in supporting the smooth operation of the landscape maintenance division and ensuring efficient coordination between teams.
Position Overview: As a Maintenance Branch Administrator/Project Coordinator, you'll be responsible for managing schedules, coordinating projects, providing HR and safety support, and ensuring accurate invoicing and inventory management. Your exceptional organizational skills and ability to collaborate effectively with various teams will be essential to success in this role.
Key Responsibilities: Scheduling: Manage and optimize schedules for all mowing crews and special projects, ensuring efficient resource allocation and timely task completion. Project Coordination: Coordinate project logistics, including communication with field teams, tracking progress, and resolving any issues that arise. HR Support: Assist with onboarding paperwork, employee records, and general HR administration tasks. Safety Support: Maintain safety records, coordinate training sessions, and promote a safe working environment for all employees. Invoicing & Accounting: Process monthly maintenance billing, manage accounts receivable (AR) and accounts payable (AP), and ensure accurate financial records. Inventory Management: Track inventory levels, coordinate orders, and ensure sufficient supplies are available for projects. Budget Support: Assist branch managers with budget tracking, expense reporting, and cost analysis. Deposit Processing: Process deposits for job starts and ensure timely and accurate financial transactions. Software Utilization: Utilize Pipedrive and Sage Impact CRM systems to streamline operations, track leads, and manage client communication. Qualifications: Education: Associate's degree or equivalent experience preferred. Experience: Prior experience in administrative or project coordination roles is a plus, but not required. We welcome candidates from related industries who possess strong organizational and communication skills. Skills: Excellent time management and organizational skills Strong attention to detail and accuracy Effective communication and interpersonal skills Proficiency in Microsoft Office Suite or similar software Ability to multitask and prioritize in a fast-paced environment Experience with CRM systems (Pipedrive, Sage Impact) is a plus Language: Bilingual proficiency (English/Spanish) highly preferred Additional Information: Team Environment: You'll work closely with two other male colleagues in the production room, alongside the operations team and the enhancement manager.
