We are seeking a highly skilled and experienced Office Manager to join our team and oversee the daily operations of our esteemed practice.
Key Responsibilities: Maintain efficient day-to-day operations of a multi-physician cosmetic surgery practice working with both medical and non-medical staff. Develop strategies for improving business practices, patient experiences, and profitability. Monitor consult conversions and ensure a seamless patient journey from initial contact to post-procedure follow-up. Responsible for productivity, financial, and compliance reports, sending daily, weekly, and monthly practice reports. Build a positive team culture of passion, dedication, and accountability. Address employee relations issues under the guidance of a general manager Administer time off requests, employee transfers, changes in job classification, salary increases, performance reviews, and other employment-related documentation. Support and train staff, identifying and managing performance. Maintain efficient appointment scheduling, registration, and patient flow to enhance patient satisfaction and physician productivity. Collaborate with physicians and leadership to accomplish organizational and practice goals. Ensure compliance with all regulatory requirements. Develop business strategies and assess resources to achieve assigned goals. Oversee clinic operations, ensuring the clinic is stocked, resources are procured/supplied, and the environment is maintained to a high standard. Establish and implement effective workplace processes and procedures. Ensure policies and best practices are up to industry standards and government regulations. Ensure patient records are kept in the electronic health record. Provide updates on revenue, personnel, and other critical business information to the owner. Ensure patient experience is efficient and costs managed while ensuring patients receive the best possible experience during their surgical journey. Demonstrate excellent customer service skills by interacting with and providing timely resolution to patient concerns. Manage clinic scheduling and payment processing systems, resolving any issues or updates. Qualifications: Bachelor's degree in a related field 5-10 years of leadership experience in a busy healthcare, plastic surgery, medspa, dental, or dermatology office. Solid understanding of business and people operations. Proficiency in computer operations, including Microsoft Office and practice accounting and inventory systems. Ability to learn and demonstrate competency in company technology platforms. Demonstrated critical thinking, creativity, problem-solving, and decision-making skills. Exceptional organization, communication (verbal and written), and facilitation skills. Solid understanding of medical terminology, healthcare management, accounting, healthcare and employment law, and ethics. Benefits: Competitive salary and performance-based incentives.
