We are looking for a responsible Office manager who will perform organization and coordination of administration duties and office procedures. You will help us to create and maintain a proper work environment to optimize our organizational effectiveness, communication, and safety. Your responsibilities will include scheduling meetings, making office supplies arrangements, greeting visitors, and providing general administrative support to our employees. Ensures that the company and customer (internal and external) reporting requirements are met on shift and daily production/activity in the facility.
Duties Include: Organize office operations and procedures and schedule meetings and appointmentsManage the office layout, ordering stationery and equipment when neededMaintain the office condition and arrange necessary repairsWork together with HR to update and maintain office policies as necessaryOversee timely invoicing and payments for all itemsNegotiate with office vendors, service providersManage office budget, ensure accurate and timely reportingOrganize the onboarding process for new employees and provide support to visitorsAssist plant manager with typical duties such as maintenance, mailing, bills, errands, and so onInteract with employees to receive their queries about organizational problemsPlan in-house or off-site activities, like parties, celebrations, and conferences Requirements 2+ years' experience working as an Office Manager or Front Office ManagerGood experience with office administrator responsibilities, systems, and proceduresGood practical experience with office machines (such as fax machines and printers) and MS Office, particularly MS Excel and MS OutlookGood familiarity with email scheduling tools, like Email Scheduler and BoomerangStrong time management skills and ability to multi-task and prioritize workStrong organizational, planning, and problem-solving skills with attention to detailExcellent written and verbal communication skills, with a creative approach to problemsBilingual-Spanish preferred Join us today!
