Summary: The Operations Specialist is responsible for the planning, coordination, and execution of Adaptive Reconditioning Events. The Operations Specialist coordinates, schedules, staffs, and maintains status on required actions to include taskings, current operations, staffing actions, short range plans, event de-confliction, and acts as the assistant administrator/coordinator for the Adaptive Reconditioning Program. The Operations Specialist is the primary point of contact (POC) with Soldiers/Athletes participating in ARCP events, and also serves as the Assistant Sports Director for all adaptive sporting events. The Operations Specialist shall support of the ARCP Adaptive Reconditioning Program at ARCP, under the direction of the Adaptive Reconditioning Branch Chief.
Essential Job Functions: Shall synchronize requirements for ARCP events, annual DoD mandated intra-service and international events to include assisting with the production of OPORDs, FRAGOs, WARNOs and EXORDs. These events include adaptive sports camps, Posttraumatic Growth (PTG) Training, Wellness Events, Army Trials, Warrior Games, Invictus Games, and all other Adaptive Reconditioning Program events. Work closely with the PM/Sports Director to develop sports and/or event schedules for each Adaptive Reconditioning Event. The schedules will include a day-by-day overview and events by hour for the duration of the event, including practices and competition (as applicable). Schedules shall include timelines, run of show, and detailed operation schedules for each event (as applicable), and may also include inclement weather plans and event staffing (troop-to-task list). At each event, the Operations Specialist shall be responsible for developing and distributing heat sheets for each sport 48 hours prior to the start of each event, or earlier if required. Develop individual training schedules for Soldiers/Athletes as required, as well as coordinate group event training for the duration of the adaptive sporting event. The training schedules must be complete and delivered to the Soldiers/Athletes prior to the start of the event (as required). Collect athlete apparel sizes for general and sports specific sizing and capture on a spreadsheet provided by sponsoring uniform company. Additionally, at events, the Operations Specialist will assist with the distribution of uniforms to athletes and coordinate any necessary swaps. Assist developing and/or compiling briefings as requested, to include but not limited to the monthly RCO/SRU TCON, Soldier/Athlete briefings, and Operational Planning Team (OPT). The Operations Specialist will also develop SITREPs for Adaptive Reconditioning events and activities as directed by the AR Branch Chief or designee as needed. Develop, update, and/or assist with the creation of documentation and/or spreadsheets required for the support of adaptive reconditioning events, including but not limited to, rosters, packing lists, lodging/rooming lists, transportation, athlete meetings. Coordinate and collaborate with internal and external organizations and stakeholders as needed, including, but not limited to: Department of Veteran's Affairs (VA); Military, Community and Family Programs Morale, Welfare and Recreation (MWR); U.S. Army Training and Doctorate Command (TRADOC), Other Service Wounded Warrior Programs; Non-Governmental Organizations (NGO); Veteran's Service Organizations (VSO); Various Disabled Service Organizations, Non-Profit Organizations. Coordinate with ARCCD for veteran travel, ARCP STRATCOM, MRC Staff, and SRU staff as needed, and coordinate with external entities for support and to help plan and execute events as appropriate, including TRADOC contracted staff, coaches, and venue managers. Shall serve as the main Soldier/athlete point of contact, responsible for communicating all requirements for adaptive sporting events to SRU Soldiers/athletes and Veteran athletes selected for the events and collecting all necessary data and information from the Soldiers/athletes. Means of communication may be through email, phone call, text message, or application-based messaging such as Signal or WhatsApp. Adaptive Sporting events include Army Trials, DoD Warrior Games, Invictus Games, and other Adaptive Reconditioning camps, clinics, and events. Shall aid in the development of After-Action Reports (AAR) for events by providing feedback on observances and suggestions for improvement related to their duties at the event and soliciting and collecting feedback from event coaches. Assist the Equipment and Logistics Coordinator with the collection, distribution, set-up and movement of adaptive sports/reconditioning related supplies and equipment. Assist with the collection of administrative information for Soldiers/athletes, coaches, staff, and others as needed. This includes Supervisory ARPS by reaching out to Soldiers/athletes to collect information such as accountability, travel information, transportation coordination, etc.). Assist with the execution of all Adaptive Reconditioning Events including Army Trials, Warrior Games, Invictus Games, Wellness Retreats, Camps/Clinics. Execution duties may include but are not limited to the following: Welcome brief, Soldier/Athlete arrival and departure (RSOI), Soldier/athlete management and accountability, borrowed Military Manpower (BMM) scheduling/management, cadre and coach coordination. Collaborate with and assist the PM/Sports Director with communication, management, and direction of event coaches, assistant coaches, and support staff for all events. Coordinate with the ARCP STRATCOM team to assist with the collection of biography book information and photos from Soldiers and/or Veterans. Conduct pre-event site visits to review proposed facilities, equipment, and staff support as requested by the Adaptive Reconditioning Branch Chief for regional, national, and international Adaptive Reconditioning events. Shall inform the Adaptive Reconditioning Branch Chief of information from the site visit, and shall be responsible for identifying and coordinating necessary components to execute events and communicate needs that must be met. Event site visit report shall be provided to the Adaptive Reconditioning Branch Chief and Event OIC NLT five (5) days post-site visit to report status. Occasional travel required to support off-site events. Necessary Skills and Knowledge: Excellent organizational and multitasking abilities. Strong communication and interpersonal skills. Proficiency in Microsoft Office Suite. Ability to work independently and as part of a team. Detail-oriented with a high degree of accuracy. Flexible and adaptable to changing priorities. Minimum Qualifications: Bachelor's degree in Sports Management, Recreation, Business Administration, or a related field OR equivalent relevant years of experience Minimum of 2-3 years of experience in event planning, operations coordination, or sports management. Ability to work flexible hours, including evenings and weekends, as necessary. Preferred Qualifications: Experience working with adaptive sports or military programs is highly desirable.
