POSITION TITLE: Parish Secretary
POSITION TYPE: Part Time Hourly
REPORTS TO: Pastor or designated representative
Primary Role
Assists and supports the delivery of parish services and programs by providing a variety of clerical, secretarial, and related office services in a collaborative team environment.
Warmly greets and welcomes all visitors to the parish office.
Directs incoming calls to the appropriate person/department.
Accurately maintains parish records, files, schedules, and supplies.
Major Responsibilities:
Greets all visitors warmly, fostering a sense of community where all feel welcome.
Answers phone calls, responds to email and voice messages promptly.
Aids those who seek to become active and participating members of St. Colette Parish, by coordinating new parishioner registration and ensure follow-up contact is done in a timely fashion.
Assists the parish staff in fostering a sense of community within the parish where all members feel a sense of belonging to each other, the parish, and the larger church.
Maintains, organizes, and orders office supplies, schedules equipment maintenance, and maintains order in the copy area and supply closets.
Mails bulletins to homebound parishioners weekly.
Prepares and delivers bulk mailings as needed and assists operations manager with the same.
Assists with funeral intake and Mass.
Manages and maintains parish database (ParishSoft), generates reports as requested.
Maintains permanent sacramental records and issues certificate upon request.
Prepares and maintains yearly Mass Book by scheduling Masses, issuing Mass cards and recording stipends for deposit weekly.
Any additional responsibilities deemed appropriate by the pastor.
Qualifications:
Practicing Catholic in good standing, willing to uphold the Catholic moral teachings, and lead a life consistent with the Catholic faith.
Knowledge and understanding of the Catholic Church, its Mission to Unleash the Gospel, and Families of Parishes.
Demonstrates ability to professionally represent the parish to those who call, write, or visit.
Strong organizational and record keeping skills.
Excellent intrapersonal communication skills with good telephone etiquette.
Ability to present oneself professionally.
Proficient use of Internet with working knowledge and understanding of ParishSoft, MS Office especially: MS Word, MS Publisher, and MS Excel.
Demonstrates ability to set priorities, multitask and organize work effectively and efficiently, and ability to adapt to sudden changes in routine or schedule.
Demonstrates ability to honor and maintain confidentiality.
Works well with individuals having a wide range of personalities and abilities.

High energy and self-starter.
Associate Degree in a related field.
