Provide meticulous and professional administrative support to the Senior Vice President of Research
Biology under the supervision of the Business Manager. This role is responsible for managing the highly fluid calendar of the SVP's, resolving scheduling conflicts, adjusting appointments based on ever-shifting priorities, and ensuring clear and timely communication. The ideal candidate will possess a solutions-focused mindset, friendly interpersonal skills, and the ability to thrive in a fast-paced,
high-volume environment.
Key Responsibilities Calendar & Meeting Management: Oversee the SVP's complex calendar, resolve conflicts, prioritize appointments, and coordinate logistics for meetings and travel. Communication & Coordination: Closely monitor email, google chat, and slack to ensure timely
responses and updates, facilitating smooth internal and external interactions. Project Support: Assist with managing multiple projects, co-coordinate workstreams, maintain
frequently changing meeting headcounts and attendance sheets, create and maintain spreadsheets using Google Sheets. Track projects using Asana and other programs. Travel & Expense Management: Arrange travel logistics for SVP and external guests; process expense reports. Technology & Virtual Meetings: Use and troubleshoot virtual platforms, Google Meet, Zoom, and to facilitate hybrid meetings. Problem Solving & Judgment: Proactively address potential issues, utilizing common sense judgment and discretion when handling sensitive information Hospitality & Guest Management: Create a warm, welcoming environment, greeting individuals
meeting with the division head with a focus on hospitality and professionalism. Greet and host external visitors, manage security registration, ensure seamless transitions between in-person and virtual meetings. Operational Support: Process purchasing requests, invoices, and coordination of facilities requests to ensure smooth daily operations. Monitor, maintain and order office supplies. Recruitment & Onboarding: Coordinate external candidate interviews and onboarding processes. Qualifications Education & Experience: BA/BS degree or equivalent experience with 10+ years in administrative and or project management roles, or AA degree with 12+ years in administrative and or project management roles, preferably in a technical or biotech environment Technical Proficiency: Expertise in Microsoft Office, Google Suite; high proficiency and accuracy
working with spreadsheet, database, and presentation applications. Skills: Strong organizational, proofreading, and multitasking skills. Ability to handle confidential material with discretion and meet deadlines under pressure. Key Attributes: Adaptable, solution-oriented, and capable of working independently and collaboratively. Ability to handle frequent interruptions with grace while maintaining focus on priorities. Excellent
customer service skills, high attention to detail and accuracy, and ability to anticipate and proactively resolve issues with professionalism.
Work and Physical Requirements Ability to respond promptly to requests and adapt to evolving needs during core business hours, Monday through Friday, in alignment with SVP's working schedule. Demonstrated capability to manage confidential and sensitive information with discretion. Ability to accommodate extended hours (sitting or standing) of computer, keyboard, and mouse use to meet business demands. Capability to lift and carry up to 15 lbs. as needed. In-office presence required, Monday through Friday.
