Construction Project Administrator

Seeking a Construction Project Administrator that will work with the Divisional Project Management and Operations Teams to ensure that all projects adhere to corporate standards, and that proper documentation and processes are followed for all projects.
The Construction Project Administrator will also work closely with the Finance Department to initiate vendor payments, monitor lien releases, processing of foreign currency payments, as well as collections for assigned projects and clients.


Construction Project Administrator Job Qualifications •Minimum 3 to 5 years' experience performing project administration for a general contractor or subcontracting company •Thorough knowledge of billing/invoicing using purchase orders and subcontracts •Experience with computerized systems used in construction project administration; Timberline experience a plus •Working knowledge and skill in the use of Microsoft Office applications •High school diploma required; some college study preferred •Strong attention to detail •Excellent time management and multi-tasking abilities; deadline-driven •Familiarization with an ISO 9000/9001/9004 quality system is a plus •Ability to assist field personnel with day-to-day duties •Excellent administrative and organizational skills •Solid interpersonal and communication skills - both oral and written Why You Should Apply •Competitive salary and benefits package including health, dental and vision insurance •Matching 401(k) plan and paid time off •Excellent opportunity for growth Office Administrator Job Responsibilities •Complete all documents and procedures necessary to administer new projects, contract to close •Use Timberline system to establish project set up including billing schedule, generation of customer billings, job cost entry, etc.
•Monitor projected customer payments and customer retention amounts for projects •Approve change orders submitted by Divisional Project Management teams •Reconcile month-end Timberline billing reports •Assist in obtaining weekly payroll information by project, as needed •Perform basic accounting and job costing tasks, as needed •Enter vendor invoicing in Concur to support the cost on all jobs
