The Department of Computer Science at the University of Illinois Urbana-Champaign is hiring a Project Manager to join our growing team.
We seek motivated and dynamic applicants who can manage multiple assigned projects within the Department of Computer Science (CS) to support the growth of our research enterprise and maintain a culture of research excellence across the department. Duties & Responsibilities
Project Management: Work with project leadership, members, and staff, as well as other stakeholders to plan, organize, implement, and communicate center-level operational activities, policies, and processes. Organize, attend, and take minutes at project meetings. Recommend best practices or changes that facilitate improvement in
meeting objectives and outcomes. Serve as a primary contact for project leadership, project staff, external agencies, and university departments regarding project needs and activities. Maintain and support relationships with multiple stakeholders, including existing and potential sponsor(s) and research collaborators. Assist in preparing, developing, and updating information regarding project activities: help create project progress reports for activities, including but not only as required for reporting to campus offices and funding agencies; ensure project documents, records, data, and archives are maintained and organized, including but
not limited to project data, publications, regular reports, conferences, outreach materials, and other notable sources; compile and summarize project information to be used in reports and presentations. Plan and manage events, such as seminars, workshops, CS summer research program, and sponsor review meetings. Duties include event committee coordination and support, development of online infrastructure (registration, applications, event website), correspondence with speakers and attendees, preparation of complex schedules, arranging logistics and accommodations, and coordinating catering. Manage event on-site. Assist project staff in seeking additional external funding to support or enhance project activities. Support CS Research Activities: Assist with new research initiatives, including activities such as workshop organization, preparing materials, helping identify funding opportunities, and communicating with potential funders. Provide support in the preparation of high-quality, compelling, competitive proposals. This includes helping collect relevant information for proposal creation related to funding needs, equipment needs, staffing needs, and similar. Organize peer review meetings for proposals (i.e., "red teams") to review scientific narratives and analyze feedback from those reviews to apply comments to the proposal. Represent the Department of Computer Science in related meetings/events as requested. Perform additional appropriate duties to support the research mission of the department. Liaise with Others: Act as a liaison with appropriate business office staff, university Sponsored Programs Administration, and department/college research administrators or other university personnel regarding all financial and personnel obligations. Ensure necessary research administration activities are completed in a timely manner, including but not limited to post-award compliance activities, personnel appointments, travel arrangements and reimbursements, purchasing and procurement, and technology management. Maintain a high-level view of the sponsor budget versus project expenditure to ensure adherence to commitment to external agencies and spending burn rate is appropriate, and liaise with the sponsor on budget, schedule, reporting, and other programmatic matters. Coordinate with communications staff on publicity; assist with project-specific social media accounts and website maintenance, Minimum Qualifications Bachelor's degree in Project Management, Business, or a related field. A total of two (2) years (24 months) work experience managing projects, programs, or special events. Master's degree may substitute for one year of work experience. Preferred Qualifications Experience working with cross-functional teams. Work experience within a university setting or research organization. Project Management Professional from the Project Management Institute (PMI) or other program management certification programs. Knowledge, Skills and Abilities Demonstrated knowledge and ability in meeting deadlines. Proven organizational skills and an attention to detail. Excellent interpersonal and communication skills. Demonstrated leadership ability that includes a high level of initiative, exercising discretion, and working independently in managing and overseeing projects. Clear ability to identify, analyze, and solve problems independently and with a team. Ability to adapt and be resourceful using on-campus resources. Demonstrated ability to work independently within a team environment. Strong project, personnel, and time management techniques. Prior or working knowledge of university rules, regulations, and procedures for research administration. Prior or working knowledge of business development or corporate relations activities. Ability to utilize and refine tracking, analysis, assessment tools, or other resources to evaluate the effectiveness of processes, programs, and activities. Appointment Information
This is a 100% full-time Civil Service 5002 - Program Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible after the posting close date. Salary is commensurate with experience. Minimum Salary for this position is $55,000.
