Key Responsibilities Provide full administrative support, including phone support, drafting tenant communiques and lease communications such as commencement date letters and default notices.
Code invoices according to budget for property manager's approval and ensure prompt and accurate completion of vendor contracts on template forms.
Track and file vendor contracts and insurance certificates; maintain follow-up system for expirations and monitor and maintain the property maintenance work order system.
Maintain lease, contract, and operational files within the property management office and shared drives.
Schedule and coordinate meetings/special events as requested.
Promote and foster positive relationships with tenants and owners.
Process maintenance staff hours, tenant bill back invoices through accounting, expense reports, monthly meter readings of properties, and check requests for review and approval.
Partner with property manager to resolve tenant problems and communicate action plan for resolution, building relationships that create tenant satisfaction specific to the property and to ensure tenants comply and fully understand building operating policies.
Assist in handling any emergency that may arise with building, property, tenants, or ownership.
Contact suppliers and vendors to support PM and Building Engineer on any work order requests or building maintenance needs; complete new setup of vendors with accounts payable as needed.
Contact tenants regarding delinquencies at various times throughout the month and send necessary backup documentation with approval of Property Manager.
Assist in maintaining monthly accrual tracker as part of the AP life cycle.
Assist the Property Manager in any special projects including spreadsheet creation or tenant event planning.
Skills, Knowledge, and Expertise
