Job Description
General Summary Of Duties:
Manage all facets of tour and convention group business including but not limited to quoting, contracting, managing rooming lists, reservations, guest room blocks, etc. Assisting with the coordination and execution of sales activities, such as responding to inquiries, preparing proposals and facilitating bookings.
Role and Responsibilities: (Includes but is not limited to the following)
Prepare and edit correspondence, communications, presentations and other documents
Design and maintain spreadsheets
File and retrieve documents and reference materials
Conduct research and collect data to prepare reports and documents
Monitor, screen, respond to and distribute incoming communications
Answer, screen, manage and direct incoming calls and messages
Arrange limousine and restaurant reservations for customers
Receive, assign and distribute leads to sales managers in a timely manner
Contract and service motor-coach groups
Coordinate group check-ins and meal coupon distribution with the Front Desk Team
Working with the accounting team to collect forms of payment as well as ordering meal vouchers for groups
Input reservations, confirmations, cancellations, and special handling alerts
Assist with site inspections and attending local events

Ability to effectively deal with internal/external customers, some of whom will require patience, tact and diplomacy to defuse anger, collect accurate information and solve customer concerns.
Ability to act independently while analyzing data and drawing conclusions from written and computer generated materials.
Communicate effectively both verbally and in writing.
Answer phone calls and provide information as needed.
Ability to follow written and/or verbal instructions.
Ability to utilize several computer programs
Ability to organize and prioritize work and meet deadlines.
Ability to maintain attendance in conformance with standards.
