Senior Administrative Assistant and Project Specialist

The firm is seeking an especially sharp, motivated and organized Sr. Administrative Assistant and Project Specialist to support our Advisor Solutions Team Directors. In addition to providing outstanding administrative support to two Senior Vice President's you will have the opportunity to work on a variety of projects supporting both the product and services areas supporting the Wealth Management division of the firm.

Qualifications: Bachelor's degree in Financial!Minimum 3-5 years of business experience preferably working with Financial Advisors or in a project management or marketing capacity.Proven track record to support multiple executives, departments and projects in a highly professional manner.Ability to deliver effective and professional service-oriented communications (written and verbal) in one-to-one and one-to-many environments.Exceptional organizational skills and attention-to-detail.Ability to prioritize multiple demands and multiple priorities including events that occur simultaneously and potentially in multiple and/or remote locationsProficiency in Microsoft Word, Adobe, Excel, and PowerPoint, and Publisher software.· Ability to maintain regular, predictable attendance.
Duties: · Schedule appointments and conference calls, coordinate video calls, webinars, and meetings, luncheons and travel for AST leaders.
· Manage calendars and phones for select individuals/team.
· Coordinate and lead various AST projects, events and meetings including event coordination and planning including sourcing venues, food, travel, logistics, verifying attendance records, and preparing meeting materials.
· Assist in the development, editing, building and delivery of business documents including materials, agendas, field communications, proposals, presentations and factsheets.
· General data entry and maintenance, data reporting, project management and expense processing.
· Develop and evolve strong working relationships with all AST departments as well as all FAs/branches by providing assistance, guidance and resources supporting business growth, increased client service and professionalism.
· Follow policies and procedures and maintain client confidentiality.
· Perform any other duties and projects as assigned.
