What the Role Is The Warehouse People Operations Coordinator is a critical team member responsible for ensuring smooth and efficient HR operations in our warehouse. This role blends administrative precision with people-first support to maintain compliance, enhance the employee experience, and keep the People Ops team running like a well-oiled machine. From onboarding new hires to managing employee data and communications, this position ensures everything is organized, accurate, and employee-focused.
As the organization continues to grow and evolve, the role will require a high degree of flexibility. It involves supporting periods of change where processes may not yet be fully defined, stepping in to adjust to operational needs such as covering other shifts when required, and helping to shape policies and procedures as they develop. The Coordinator plays a crucial part in maintaining stability and supporting a dynamic, ever-changing environment.

Proficient: You are navigating HRIS systems, Google Drive, and office technology to ensure smooth operations. Skilled: You are building strong relationships with excellent interpersonal and communication abilities. Knowledgeable: You are managing compliance requirements like I-9s, E-Verify, and EAD tracking, keeping processes accurate and reliable. Foster Meaningful Engagement: Enhance the employee experience with thoughtful initiatives and clear, encouraging communication. Empower Team Success: Support the People Ops team by staying organized, proactive, and focused on impactful solutions. Key Responsibilities Employee Engagement and Support:
Facilitate an amazing onboarding experience for new hires, coordinating with IT and staffing agencies as needed. Support the entire employee life cycle from new hire onboarding and orientations, to promotions and pay changes, to separations and offboarding. Provide 1:1 bilingual (English and Spanish) support to employees and answer any People-related questions. Review and explain company policies and procedures to employees as needed. Launch and manage employee communications via the Community platform, including newsletters and updates. Coordinate employee experience initiatives, such as planning celebrations, distributing swag and updating bulletin boards. Partner with vendors (e.g., Marketplace, Cintas) for operational needs. Document and Data Management:
Manage printing and distribution of welcome packets, benefit flyers, and employee resources. Ensure the accuracy and integrity of employee records across systems, maintaining up-to-date documentation in Google Drive and HRIS systems. Scan, upload, and organize personnel files, including amendments, offer letters, and performance records. Prepare paperwork for promotions, pay changes, separations, and onboarding/offboarding processes. Maintain and configure systems for performance review cycles. Conduct weekly audits of staffing agency rosters and attendance logs, ensuring PTO alignment. Compliance:
Administer and audit I-9 forms, E-Verify cases, and EAD tracking to ensure compliance. Support with benefit and anti-harassment training, managing rosters and providing backup when needed. Problem-Solving and Process Improvement:
Identify and troubleshoot problems as they arise, proposing optimizations to improve internal processes. Continuously seek ways to improve efficiency and employee satisfaction in the People Ops function.
