We are looking for an Academic Administrative Assistant to join our team.

The Administrative Assistant is a highly motivated and resourceful individual to directly support the Provost and Chief Academic Officer and the needs of the Corporate Academics Department.

Responsibilities Calendar and Contact Management for Chief Academic OfficerTravel planning, booking, itinerary preparationProfessional Written Correspondence; including editing and proof-reading and Oral CommunicationAttend meetings, prepare and distribute detailed meeting minutesExpense report preparation; review/process expense reports and travel authorizationsAnswer/return phone calls and emailsAssist with Event Planning, on and off-site meeting coordinationAssist with academic projects and project documentationMaintain project library and filesResearch Issues and TopicsConduct Analysis (Quantitative and Qualitative)Coordinate Academic Department requests with Nursing, Marketing, Accounting, Legal, HR, and Compliance DepartmentsReport Generation; prepare and submit a variety of weekly, monthly, quarterly and annual reportsExercise discretion at all timesMaintain professionalism when dealing with highly sensitive confidential mattersAny other responsibilities related to office assistance when requiredOther duties as assigned Qualifications Previous experience of minimum 2-years of administrative support experience to senior management or C-Level executives in a fast paced environmentAssociate or Undergraduate DegreeExperience with calendar scheduling and travel arrangements for senior level managementExcellent Microsoft Office Skills (Word, Excel, PPT, Outlook) and Adobe AcrobatMust have Attention to DetailDemonstrated ability to effectively prioritize and manage multiple tasks simultaneously in fast-paced environment, able to remain focused and shift priorities as neededAbility to utilize computer-based resourcesPrevious experience demonstrating ability to actively learn, listen, and take on multitude of tasks with a positive attitudeExcellent skills in oral, written, interpersonal communicationsTeamwork style that emphasizes collaboration, teamwork, and facilitationAble to stay calm, focused, organizedDemonstrated ability to prioritize, anticipate, and stay proactiveCaring and positive attitude
