This position is responsible for assisting the Senior Academic Affairs Coordinator with the administrative functions of the Office of the Provost and Vice President of Academic and Student Affairs. Responsibilities Answers telephone and greets visitors; provides information and assistance; refers to appropriate personnel. Manages calendars and makes appointments for the Provost. Processes requests from students, faculty, staff, and the general public. Coordinates travel arrangements for Academic Affairs personnel. Manages the workflow and tracking of forms requiring signatures (key requests, overloads, etc.). Manages and tracks MOUs for the Academic Affairs office. Modifies and updates various internal documents, reports, and publications. Researches, prepares, and distributes correspondence and reports. Coordinates with facilities maintenance personnel regarding building maintenance and repairs. Manages purchasing and inventory control for the office of Academic Affairs. Prepares catering event forms for Academic Affairs. Assists with the hiring and training of student workers; develops work schedules. Manages and tracks part-time faculty new hire paperwork. Prepares and updates faculty files. Coordinates and prepares documents and correspondence related to new faculty orientation. Assists in managing the course scheduling process via CourseLeaf CLSS. Assists in academic catalog management via CourseLeaf CAT. Assists with the collection of documents for accreditation compliance. Processes academic standing letters to students. Assists in the coordination of all details for two commencement ceremonies per year. Serves as liaison for external programs. Assists Senior Academic Affairs Coordinator as needed with additional office duties. Maintains the confidentiality of Academic Affairs correspondence and business. Performs related duties as assigned. Required Qualifications Knowledge and level of competency commonly associated with the completion of an associate degree. Experience sufficient to thoroughly understand the work of subordinate positions to be able to answer questions and resolve problems, usually associated with one year experience or service. Knowledge, Skills, & Abilities Knowledge of college and University System of Georgia policies and procedures. Knowledge of modern office practices and procedures. Knowledge of college and departmental policies and procedures. Knowledge of computers and job-related software programs. Skill in prioritizing and organizing work. Skill in the use of such office equipment as a computer, scanner, fax machine, and copier. Skill in oral and written communication. USG Core Values
