Reporting to the Senior Director of Recruitment & Special Programs, we are seeking an Academic Service Specialist who will assist with all Public Service Fellows & Scholars (PSFS) on-campus and virtual recruitment and yield events, respond to admissions inquiries, and work with the Office of Admissions & Financial Aid to track, process, and review applications for the PSFS program. This requires great attention to detail and strong customer service and data management skills. This position is also responsible for the coordination of programming events for the 50-75 members of the PSFS cohort throughout the academic year and for liaising with the Dean's Office, Global Careers, Development and Alumni Relations, and with SAIS alumni to provide professional development opportunities to the cohort. The coordinator will create and distribute surveys to the cohort and work together with the Data Analytics Office to prepare quarterly reports on cohort activities as well as reports on recruiting and admissions outcomes for PSFS.
Specific Duties & Responsibilities Recruitment & Admissions Functions (40%) Coordinate all virtual and on-campus admissions events for the PSFS program, and assist with group information sessions, open houses and recruitment fairs, etc.
Track recruitment budget expenses and process payments and invoices as needed. Ensure PowerPoint presentations and other collateral material for PSFS are up to date including the website pages. Correspond with applicants via email, phone, Zoom, and in-person regarding scholarship application process and policies. Assist with email or direct marketing/communication campaigns targeting PSFS prospects. Recruit current PSFS cohort members to participate in recruitment and yield events and track participation. Travel locally and nationally, when necessary, for networking and recruitment activities. Ensure the efficient and effective processing of admissions materials submitted as part of the application process. Maintain continuous follow up with all prospects from application to matriculation stage. Troubleshoot technical questions from online applicants. Assist with the application review process. Assist in annual review of application system updates that may be required. Programming Functions (30%) Coordinate special events and program activities for the PSFS cohort.
Create invitations, manage event RSVPs, and track attendance.
Reserve classrooms, set-up classroom technology if required, and arrange catering for on-campus events; prepare nametags for guest speakers.
Select and book space for external events such as cohort lunches, dinners and Happy Hours.
Help organize cohort service projects.
Communicate with current cohort about upcoming opportunities including those shared by Global Careers and the Dean's Office.
Schedule monthly cohort meetings and identify topics or guests to attend.
Set-up WhatsApp groups for each new cohort.
Supervise Graduate Student Assistant to help with PSFS event programming.
Track programming budget expenses and process payments and invoices as needed. Data Collection & Reporting Functions (20%) Assist in the collection, analysis and reporting of admissions statistics throughout the admissions cycle, using admissions software (e.g. SIS, Slate) and other appropriate sources. Work with Data Analytics team to prepare quantitative reports for program donor.
Survey PSFS cohort each semester to gather qualitative data for reports for program donor.
Gather profiles and headshots of admitted cohorts and work with printer to publish annual view book of cohort members.
Work with Global Careers to track employment outcomes for PSFS graduates.
Work with Development & Alumni Relations to develop and maintain database to track and keep in touch with PSFS alumni; where they are employed and where they live; to assist in both recruitment and programming events for future cohorts. Miscellaneous (10%) Work collaboratively and regularly with students, applicants, alumni, faculty, SAIS deans and administrators, as well as external applicants.
Perform other duties as assigned.
Participate in work-related trainings.
Some evening and weekend work may be required. Special Knowledge, Skills & Abilities Strong interpersonal, analytical, and organization skills.
The ability to manage multiple competing priorities.
Excellent proficiency in basic data management systems and basic computer applications (e.g., Word, Excel, Access, PowerPoint); willingness and ability to learn additional applications as needed.
Knowledge of client relationship management (CRM) software, preferably Slate Technolutions.
Proficiency on Zoom, Facebook, Twitter, and other social media required.
Excellent written and verbal communication skills.

Must be student-centered and have a strong customer-service orientation.
Ability to work independently and with a team. Minimum Qualifications High School Diploma or graduation equivalent. Three years administrative/academic related experience. Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula. Preferred Qualifications Bachelor's Degree. Event-planning experience. Starting Salary Range: $18.00 - $33.50 HRLY (Commensurate with experience)
