Summary: Under general administrative supervision and according to established policies and procedures, the Accounting Clerk performs a variety of administrative, accounting and bookkeeping duties to maintain accurate financial and billing records and reports within the Accounting department. The Accounting Clerk reports directly to the Comptroller. The duties and responsibilities of this position require the incumbent to always maintain confidentiality of client and firm matters.
Responsibilities: Process invoices, expense reports, and other financial documents for accuracy and compliance with company policies.Manage accounts payable processes.Monitor trust accounts and ensure compliance with regulations.Maintain vendor relationships by effectively communicating and resolving discrepancies.Perform data entry tasks with a high level of accuracy and attention to detail.Reconcile accounts payable transactions to ensure accurate and timely payments.Assist in month-end and year-end closing processes as needed.Prepare annual 1099 for applicable vendors.Prepare quarterly State of Maine use tax returns.Collaborate with attorneys and administrative staff to address financial inquiries.Collaborate with internal teams to address inquiries and provide support related to accounts payable.Stay updated on industry best practices and changes in regulations affecting accounts payable.Perform other tasks as assigned.
Requirements:High school diploma or equivalent; Associate's degree in Accounting or Finance preferred.Proven experience (1-2 years) as an Accounts Payable Clerk or in a related role.Proficiency in using accounting software and Microsoft Office Suite (Excel, Word, Outlook).Strong organizational skills and ability to handle multiple tasks in a fast-paced environment.Excellent communication skills, both written and verbal.Keen eye for detail and accuracy.Understanding of basic accounting principles.Ability to work independently and as part of a team.Ability to maintain confidentiality and exercise discretion.Positive attitude and strong work ethic.Working Conditions: Normal office environment with little exposure to excessive noise, temperature and the like.Extensive sitting may be required.This position requires one to lift between 5 and 10 pounds on a consistent basis and occasionally up to 25 pounds or more; and push and pull on an occasional basis packages and other articles weighing up to 50 pounds.Extensive use of keyboards/computer terminals may be required.Occasional exposure to dust is possible.
