Job Description Duties:
•Recording Project Bookings, ensuring that all documentation is obtained to support the booking and following up for that information
•Setting up initial Project Status Report files for Project Managers
•Preparing invoices to customers
•Following up on the status of customer invoice payments
•Preparing weekly Past Due AR reporting with comments
•Following up with PMs for timely milestone invoicing
•Preparing Time and Materials reports for customer invoicing
•Assisting with Accounts Payable Tracker information entry
•Assisting with the preparation of Corporate Requests for information, including Tax related information
•Other ad-hoc requests from other Finance team members
Objectives of this role:
•Support the monthly Finance activities for a Project-oriented firm to ensure smooth operations
•Understand the basics of Percentage of Completion accounting and the impacts of project bookings
•Work with a robust team of individuals from both Finance and Project Management while preparing customer invoices and following up on timing
•Assist in the development of an updated T&M tracking process
•Support the ongoing evaluation and maintenance of system controls for SOX Compliance
Required skills and qualifications.
•Associates Degree or Higher
•Moderate Proficiency with Microsoft Excel
•Proficiency with other common applications (Outlook, Web Browsers, etc)
Additional Information Preferred skills and qualifications:
•Bachelor's Degree or Equivalent
•Experience using ERP Software (MS Dynamics 365 preferred)
•Advanced knowledge of Microsoft Excel (Pivot Tables, Lookups, Macros)
•1-2 years of work experience in an accounting clerk or bookkeeper role
Health, Safety and Environmental (HSE) •Work in compliance with divisional health, safety, and environmental procedures
•Refrain from removing or altering safety devices or guarding unless hazardous energies are controlled through lockout-tagout methods
•Report any unsafe conditions or unsafe acts
•Report defect in any equipment or protective device
•Ensure that the required protective equipment is used for the assigned tasks
•Attend all required health, safety, and environmental training
•Report any accidents/incidents to supervisor
•Assist in investigating accidents/incidents
•Refrain from engaging in any prank, contest, feat of strength, unnecessary running, or rough and boisterous conduct
