Position Summary Under the supervision of the Senior Accountant, the Accounts Payable Coordinator implements NOLA-PS processes and procedures for all accounts payable activities. This position also processes accounts payable requests using the district's Policies and Procedures.
Salary Range $54,000-$79,300
\n Essential Duties and ResponsibilitiesProcesses and accounts for vendor invoices to include verification of invoices, expense coding, voucher preparation, timely payments, and maintenances of accurate records and control reportsAssists in monthly and year end close which may include aging reporting and key performance indicatorsAssists in the development and documentation of travel policies, regulations and procedures and monitors complianceGenerates various reports for management including accounts payable register and other financial analysesOversee the procurement card process that includes ensuring all receipts are submitted and properly coded for the financial system and performs monthly reconciliationHandles all travel for the district which includes organizing travel arrangements and processing travel reimbursementsProcesses all expense reimbursement claims and disbursements for the district and ensures all supporting documentation has been submittedAssists with Fixed Asset physical inventoryAssists with Student Activity processingWorks with internal/external auditors related to internal control analysis, month-end and year-end activities, and accruals and suggests improvements in processes to increase efficiency and effectiveness of unitMaintains updated vendor files and file numbersPrepares and records all vendor checks for mailingServes as backup for the payroll and assists with processing W2'sMaintains filing system for all financial documentsTrains and cross-trains employees in existing and new procedures, set standards of performance and monitors performanceReceives mail to disburse to appropriate partiesProcesses 1099'sPerforms other duties as required Educational BackgroundAt least an Associates degree and/or 3+ years of relevant accounts payable experience required Other Knowledge, Skills, and AbilitiesExcellent verbal and written communication skills, including ability to effectively communicate with internal and external customersExcellent computer proficiency (MS Office – Word, Excel and Outlook)Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer serviceAbility to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices

Performance Evaluation The employee will be evaluated based on the above position using either two methods: via COMPASS or a NOLA-PS evaluating instrument. If the employee holds an Educational Leadership certification, he/she will be evaluated via COMPASS to ensure renewal of certification.
