Job Title: Administrative Assistant 3
Job Description
Provides higher level administrative business support primarily for the Senior Business Manager and General Manager of the UNIO (United Nations) team, with travel and expense support for three Senior Directors.
This role will report to the Senior Business Manager, assisting with coordinating the General Manager's schedule, completing special projects, and enforcing team policies and procedures.
The role includes a variety of complex administrative functions including calendar support, coordinating meetings and events, travel arrangements, financial operations, and personnel operations.
Responsibilities
+ Provide administrative support for the Senior Business Manager and General Manager of the UNIO team.
+ Support three Senior Directors with travel and expense management.
+ Coordinate the General Manager's schedule and complete special projects as assigned.
+ Enforce team policies and procedures.
+ Book 1-2 trips per month, including potential international travel for short conferences.
+ Support with calendar management, meeting coordination, event planning, and financial operations.
+ Assist with various ad hoc business support tasks and office support.
+ Relate well with diverse individuals and assist team members as needed.
Essential Skills
+ 4+ years of proven and professional administrative experience in a large, fast-paced environment.
+ Effective communication skills and willingness to assist team members.
+ Strong people skills, attention to detail, and organizational skills.
+ Working knowledge of email, scheduling, spreadsheets, and presentation software.
+ Experience using MS Office Suite (Outlook, Excel, PowerPoint).
+ Minimum 5 years experience with calendaring in Outlook.
+ Minimum 4 years experience with executive support and presence.
+ Ability to lift up to 20 lbs.

Additional Skills & Qualifications
+ No degree required to be eligible for this role.
+ Candidates with large unexplained gaps or frequent job hopping will not be eligible.
+ A passion for tech and non-profits, and a willingness to learn and ask for help when needed.
+ Previous experience at a similar organization is preferred but not required.
Work Environment
The role is onsite, requiring attendance 5 days per week in New York, NY.
The typical daily schedule is 40 hours per week, with standard core hours of 9-5, and infrequent need for overtime past 5pm.
The role may extend to 18 months and has a high likelihood of converting to a full-time position in the future.
The team is small and close-knit, focused on curating a friendly culture.
