SUMMARY: Provides administrative support to the Adult Groups and Connections Ministries as needed to fulfill the overall goals and objectives of each ministry and Pinelake Church.
GENERAL RESPONSIBILITIES: Works in coordination with the overall goals and objectives of the Adult Groups and Connections Ministries.
Assists the ministerial staff to work toward excellence in all areas of the ministry.
Provides administrative assistance for all activities that support the ministry's strategies.
Communicates these activities to other staff members, the church congregation, and ministry teams (as instructed by the Family Pastor).
Assists other staff members, when needed, to support teamwork and contribute to the
successful completion of their objectives and strategies.Basic personal responsibilities: Maintain a vital and growing personal walk with the Lord through committed Bible study, prayer, and meditation. Maintain proper priorities in your home including your spouse and children (if married and/or with children). Faithfully support the ministries of Pinelake by maintaining wise stewardship measures over the resources entrusted to you. Perform duties and responsibilities in a manner to glorify Christ and further the mission and ministry purposes of Pinelake Church (Colossians 3:23-24).
SPECIFIC LIST OF DUTIES AND RESPONSIBILITIES: Organizes, prioritizes, and executes routine office duties:Calendar Management, such as schedule appointments.High focus on scheduling spiritual counselors and greeters for Sunday mornings. Scheduling and organization of on-campus groups. Email correspondence.
Develop a system for organizing files and records.Coordinate mailings.Photocopy and laminate, as necessary.
Regularly ensure attendance data is accurate for dashboard reporting.
Confirm set-up and prepares rooms prior to group meetings, ensuring orderly appearance.
Keep room signs updated on the reserved rooms for groups.Performs other general office duties for the Adult Groups and Connections Ministries. Coordinate or assist in calendar requests utilizing Rock (church management system):
Assists with and submit event checklists as needed.Maintain calendar in Rock.
Order curriculum and resources, as requested:Submit quarterly order for Adult Groups through LifeWay (or another supplier as directed).Order curriculum for Equipping Groups.Order Financial Peace Curriculum. Maintain a portion of the Adult Group & Connections Ministries' budgets:Prepare purchase orders and submit check requests.Track and balance the monthly expenses to budget.Reconcile VISA statements and receipts for Adult Groups Pastor/Minister.Prepare and submit mileage logs for Adult Groups Pastor/Minister. Utilize Rock (church management system) to help Adult Groups & Connections Ministries maintain accurate, up-to-date records:Build groups.Develop group rosters.Make leader assignments.Assist Adult Groups Pastor/Minister to track attendance.Confirm new groups added to Rock are accurately reflected in Dashboard.Update profiles when needed. Assist in contacting Pinelake attendees who desire adult group participation or desire more info:Conduct phone calls.Send emails.Develop registration forms. Monitor progress in process queues.Monitor and assimilate through communication forms. Responds to the needs of adult group leaders and coaches, as necessary:Conduct phone calls.Respond to and send emails.Send out curriculum in a timely manner.Photocopy items as needed.Provides and maintains an updated schedule of equipping classes and small groups. Coordinates set-up and food for all group related events.Assists other staff members, when in need, to support teamwork and contribute to the successful completion of their objectives and strategies.Makes recommendations to improve department performance and communications.Performs other duties as assigned by Adult Group Team Lead (Equipping, Men, Young Adults, College, Women, etc).Performs other duties as assigned. EDUCATION AND EXPERIENCE REQUIRED: High school diploma or equivalent minimum; college experience preferred. Two to five years of administrative experience.

The story of Pinelake Church began in February of 1971 in Brandon, Mississippi in a mobile chapel in a rural area near The Reservoir. By God's grace and power, our faith family has grown into a dynamic church spanning five cities throughout our state -- Clinton, Madison, Oxford, the Reservoir, and Starkville. Weekly, we serve over 12,000 people, but we celebrate stories of life change one person at a time.
MADISON CAMPUS: We planted our Madison campus in 2006, and God has done some fantastic things in our midst! Currently, we welcome 1700 children, students, and adults each weekend from across Madison County to our worship experiences, bless the community through our Care Center and other ministries, and are a vibrant expression of Christ to all those in Madison County! What's more, Madison is one of the fastest growing counties in the state, with an 8.1% population growth over the past five years and over 100,000 current residents!
