GENERAL RESPONSIBILITIES Provides administrative support for Executive Director and Finance Manager. DUTIES: • Provide administrative support to Executive staff (Director, Finance & Business Management). Including but not limited to, documentation, letter writing, scheduling meetings, travel arrangements and preparation of materials for meetings and presentations.
• Provides front desk support in greeting clients and orientation of those clients.
• Manages processes and transfers incoming phone calls and messages, as required to facilitate staff and client communications.
• Assist with loan and training client intakes and prequalification's
• Process incoming and outgoing mail and deliveries.
• Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
• Assists with processing, collecting and organizing information necessary for applications, RFP's, RFQ's or IFB's submittals.
• Contributes to team effort by providing support for special projects/events, trainings, and office management issues to accomplish organization goal related results as needed.
• Maintain loan program files as it pertains to prequalification's.
• Monitors organization's websites and email communications and distributes to appropriate staff for response. SKILLS/QUALIFICATIONS: • College degree preferred, as this individual will work closely with executives. A degree related to business management or industry related.
• Word processing, writing, and communication skills are essential
• Proficient in Microsoft Word, Excel and PowerPoint.
• Proficient in typing, good at spelling, punctuation, grammar, and oral communication.
• Excellent customer service and interpersonal skills, must be tactful in dealings with people.
• Discretion, good judgment, organizational or management ability, initiative, and the ability to work independently.
• Adaptable and versatile.
• Ability to multitask.
• General math skills.
• Basic website management.
• Basic graphic design.
• Bi-lingual a plus.
