Summary of Purpose

Serves as an assistant for the Vice Chancellor of Economic & Workforce Development and supports the Economic & Workforce Development (EWD) department.
Performs executive secretarial duties, technical and administrative support tasks that will enhance the leadership effectiveness of the Vice Chancellor, manages office operations, and prepares confidential documents and reports..
This position is expected to work in a multi-cultural, diverse working environment.


Typical Duties

Provides oversight and coordination of the Vice Chancellor's calendar including meetings and travel arrangements; maintains and tracks appointments for review and follow-up.
Schedules, attends, and takes minutes at campus and/or college meetings as needed.
Manages and maintains various database information within the department (e.g., Outlook distributions, organizational charts, emergency lists, etc.).
Receives and routes mail and other correspondence to appropriate entities for further action for the department.
Answers and screens telephone calls; promotes customer confidence and operations by assisting in resolving questions or issues raised, referring inquiries to appropriate areas within the college.
Maintains department budget utilizing the college wide software systems; investigates problems or inconsistencies with the budget as needed.
Responsible for assisting with onboarding of new staff members within the department; acquiring necessary supplies, equipment, computer access, etc.
Maintains office supply inventory for department use; utilizes college wide computer system to enter purchase order requisitions according to established College purchasing procedures.
Prepares, edits, and finalizes written materials such as letters, memos, correspondence, forms, contracts, reports, and presentations.
Plans, organizes, and supports department events.
Leads and/or supports special projects for the department.
Performs other related duties, as assigned.
Knowledge and Skills Required Knowledge of Microsoft Office applications including Word, Excel, PowerPoint, and Access Technology background with ability to learn and adapt to new technology and college wide systems Ability to maintain confidentiality and work cooperatively and courteously with a broad spectrum of college employees, students, and the general public Excellent communication skills (written and verbal) Detail-oriented Ability to manage multiple priorities, including special projects Ability to work independently and in team environment Minimum Education and Experience

EDUCATION: Associate degree or higher

EXPERIENCE: Three (3) or more years' experience in an administrative support or related position

Part-time Classified employees are offered the opportunity to have medical, dental, vision at the full monthly premium; life insurance is also available at a nominal cost.
Participation requires that benefit costs be taken via payroll deduction.
