Functions as the personal assistant to the Circuit 14 Community Development Administrator (CCDA) performing a variety of complicated secretarial, administrative, and office managerial responsibilities.
Provides support to the NWR Accountant III, Hope Florida activities, and Client Relations Coordinator.
Performs a variety of complicated secretarial, administrative, and office managerial responsibilities.
Makes travel arrangements, document preparation, and submission for payment.
Receives and reviews incoming correspondence that does not require the personal attention of the Community Development Director and distributes/routes to the appropriate staff.
Prepares draft acknowledgment letters as requested for the Community Development Director's approval or signature.
Arrange conferences/meetings; set up meeting spaces.
Coordinates with the various central office staff, regional program and support services staff; other local and state DCF offices, other agencies, public and private groups, etc.
Provides participants with background information, time, date, place and issues to be discussed and takes minutes as requested.
Assist with New Employee Orientation and Community Alliance Meetings in Circuit 14.
Completes FL Administrative Register (FAR) notices /postings and invoice processing when needed.
Willing to travel for community meetings and assist with deployment efforts as directed by Headquarters.
Liaison between the Community Development Director and his/her immediate staff as well as other personnel to transmit messages and information of importance.
Answers inquiries from various personnel on procedures and policy, information desired, or suggested contact with other personnel.
Manages the Community Development Director's calendar and screens requests for meetings, conference attendance, and other appointments.
Refers to requests to other appropriate offices.
Makes travel arrangements, and hotel accommodations and prepares reimbursement vouchers.
Prepares requisitions, receives invoices, check them for accuracy, and processes them for payment.
Prepares purchase requisitions for staff in the CDA's unit.
Maintains and orders supplies and equipment for CCDA team.
Maintains the state car log/maintenance needs.
Manages email for the Community Development Administrator.
Forwards and assigns email as appropriate and as requested.
Complies with the mandatory requirements in Section 215.422, F.S., and Chapter 3A-20 of the Florida Administrative Code (timely processing of invoices).
Acts as Human Resources Liaison by providing timely assistance and support to others in entering ads in People First, printing applications, and preparing hiring packages.
Participates in off-site activities in the community at the request of the CCDA.
Acts as the liaison for Share your Heart partnership (food bag pick-ups and delivery, background screenings for chaplains, communication with Share your Heart staff).
Back up board member/attendee for community meetings if the CCDA cannot attend.
Will be the representative at community partner meetings when CCDA is unavailable.
Backup lead on all Local Review Team (LRT) related issues/staffings.
Receives, reviews, and distributes non-direct deposit payroll checks, W2 forms, and other State notices to the appropriate staff as needed by CCDA or Regional Community Director.
Other duties as assigned.
Knowledge, skills, and abilities, including utilization of equipment, required for the position: Word processing/computer skills, Excel spreadsheets, ability to take and transcribe minutes, knowledge of Department services, expert grammatical skills, skills in customer relations, general knowledge of office equipment, ability to follow directions and maintain confidentiality.
Knowledge of the child welfare system, substance abuse and mental health, and community relations is preferred.
