Description Administrative Assistant I Examples of Duties
The Administrative Assistant I will primarily perform reception and administrative support duties for Administrative Services.
In addition, this position provides assistance, when needed, of other administrative functions including human resource and financial tasks.
Responsible for answering Court Administration telephone line, directing calls to appropriate party when necessary.
Answer inquiries that require general knowledge of departmental and Court procedures.
Makes referrals to other departments, agencies or outside entities as appropriate.Provide customer service as receptionist and liaison with the public and other Court personnel.
Greets all individuals and addresses their questions and requests promptly and professionally.
Provides primary front desk coverage for Administrative Services office, except when assigned elsewhere by the Office Manager (or other departmental management staff in absence of Office Manager).Completes administrative support tasks in a timely, accurate and professional manner.
Administrative support tasks assigned may include, but are not limited to, composing correspondence, forms and other documents, photocopying, faxing, filing, preparing mailings, sorting mail, e-mailing, assembling packets/binders and other tasks of an administrative support nature.Uses Microsoft Office Programs, including Word, Excel and Outlook, proficiently in completing tasks assigned.
Utilizes other Court software programs as needed to complete tasks and answer inquiries.Order and maintain supplies for Administrative Services Office.
Process and place online supply orders for Court departments.
Maintain office supply tracking database.
Place City Print Shop orders.Maintain particular office equipment (fax machine / copy machine) in Administrative Services office and / or for judges when necessary.Responsible for tracking usage of equipment belonging to Administrative Services Department.Assistant to assigned Floor Captain in the event of an emergency evacuation.Assists in the assignment of tasks for Work Study Students / Student Aides assigned to Administrative Services Department.Assists in the assignment of tasks for Work Study Students / Student Aides assigned to Administrative Services Department..
Coordinate and / or provide support and assistance when necessary for completion of any special Court projects.
Works as part of a team to ensure that all activities and goals of the Department are met on a timely basis.Provide quality service that continuously improves, that meets or exceeds public expectations, and that ensures all are treated with courtesy, dignity, and respect. Minimum Qualifications
High School graduate.
Minimum of two years Court-related/legal experience.
