Description

The Administrative Assistant III performs advanced administrative, technical and staff assistant support to the Board of County Commissioners and Executive Office Manager.
Examples of Duties Provides advanced administrative support to the Board of County Commissioners and Executive Office Manager.
Works closely with the Executive Office Manager in carrying out the directives of the Board of County Commissioners.
Performs duties of a staff assistant nature and participates directly in the work of the individual(s) supported.
Secures details of specialized information, coordinating office work and providing information regarding the services and operation of the unit.
Takes notes and minutes of conferences, meetings and functions as required.Keeps appointment calendars, including but not limited to the Board Chambers calendar, and schedules appointments for the Board of County Commissioners.
Greets visitors, receives, screens, and assists callers, including but not limited to acquiring information from caller and forwarding to appropriate department for resolution.Follows up on complaints received by the Board of County Commissioners from citizens with other departments.
Prepares written responses from the Commissioners to the citizen as to the status of the complaint.Prepares forms and composes letters.
Sets up and maintains specialized office files.
Files letters, reports and related technical information in the prescribed manner.
Assembles information for others use.
Opens, prioritizes and processes mail.Types using PC-based word processing software and processes letters, forms, reports, schedules, manuals, booklets, requisitions, purchase orders and related paperwork.
Types information or enters data into computer containing technical terminology.
Retrieves data for reports.Preparation of agenda materials using Legistar software.Composes and prepares resolutions/proclamations for adoption by the Board of County Commissioners pertaining to various issues as required.Prepares all travel arrangements for the Board of County Commissioners, including seminar/conference registration, airfare and accommodations.Performs research and retrieval of records.
Conducts statistical comparisons of information.Assists in the preparation and maintenance of department records.
Emergency Response
County employees are required to report for work during a state of emergency and are subject to recall around the clock for emergency response operations which may include duties other than those specified in this job description.

Typical Qualifications

Minimum QualificationsGraduation from an accredited high school or possession of an acceptable equivalency diploma (GED).Three (3) years of experience involving advanced administrative/staff assistant duties including the operation of a personal computer, keyboard, or similar data entry equipment, with emphasis in local government.
Proficient in MS Word, Excel, PowerPoint, Outlook, and Adobe Acrobat.A combination of education, training and experience may be substituted at the County's discretion.

Licenses, Certifications, or RegistrationsMust possess a valid Florida Driver's License and be insurable by current insurance carrier.
Required CompetenciesAbility to utilize tact and deal effectively with the Board of County Commissioners, County Administration staff, fellow employees and the general public.Proficient in MS Word, Excel, PowerPoint, Outlook, and Adobe Acrobat.Experience with Legistar or similar agenda preparation software system preferred.Knowledge of business English, spelling, grammar and punctuation, in order to prepare documents and compose letters, proofread materials, etc.Knowledge of office practices and procedures, with emphasis in local government.Knowledge of mathematics.

Physical DemandsConstant: Acceptable eyesight (with or without correction), acceptable hearing (with or without hearing aid).
Use of a personal computer.
Frequent: Type at rate of 55 words per minute, ability to access, input and retrieve information from a computer, ability to access file cabinets for filing and retrieval of data, ability to sit at a desk and view a display screen for extended periods of time, ability to communicate both orally and in writing.
Occasional lifting, carrying, pushing and pulling materials/items 10-15 pounds.Environmental ConditionsConstant: Office environment and works closely with others.
