Description We are offering a long term contract employment opportunity for an Administrative Assistant III - Support in Olathe, Kansas, 66061, United States.
The role involves a full spectrum of administrative support tasks, often of a confidential and challenging nature.
The successful candidate will facilitate workflow through a manager's office, using their organizational knowledge to manage incoming requests and assignments.
Responsibilities: Process and handle incoming requests and assignments, deciding how to navigate them through the office environment.
Schedule meetings, coordinate travel arrangements, and maintain appointment calendars on behalf of department managers or supervisors.
Handle administration and negotiation of certain programs, and submit financial reports.
Assist with defining systems and procedures, and administer payroll.
Develop and maintain intranet web sites, and manage databases, systems, applications, or files to ensure accurate and current information is available for use by others.
Perform research and resolve inquiries/concerns from internal and/or external customers, escalating complex issues as necessary.
Gather, create, maintain, and/or summarize potentially sensitive or confidential data from various sources to complete reports and special projects.
Manage correspondence, prepare letters and memoranda at the direction of the supervisor or for supervisor's signature and prepares documents for distribution.
Receive and refer visitors and telephone callers within the department, which may involve referring calls to different divisions, countries, or companies in multiple languages.
Organize/maintain records of Supervisor's or others' projects and correspondence, ensuring follow-up items are addressed.
Requirements Demonstrable experience in customer service and dealing with external customers Strong communication and negotiation skills Proficiency in documentation and reporting procedures Experience in payroll processing and human resources administration Familiarity with database management and web app usage Ability to handle correspondence and manage calendars effectively Knowledge of financial reporting procedures Exceptional communication skills, including the ability to communicate with C-Suite level executives Experience in research analysis and leading special projects Ability to make travel arrangements and schedule meetings efficiently Proficiency in R Code and ability to perform onsite tasks Experience in maintaining accurate records Familiarity with websites and digital tools Proficiency in dealing with external customers Knowledge of A Plus software is advantageous.
