The Administrative Assistant is responsible for providing administrative support to our Director of Technical Services and the growing Technical Services team.
A successful Administrative Assistant will be able to effectively multitask while performing well under pressure in a fast growing and changing environment
Primary Responsibilities Provide ownership of all administrative activities for the team, including but not limited to maintaining reports, creating communication (via memos or emails) in support of executive communication, developing drafts of presentations, processes, training tools, etc.
as required Working in Excel daily, concatenating data, writing VLOOKUP's and running pivot tables.
Manage the relationships with all travel vendors, hotel and rental car partnerships and all other vendors as needed Assist with travel arrangements for U.S. colleagues, including, providing documentation for immigration needs for international travel Approve bills and invoices for expenses related to departmental activities Working with the HR Department to help manage human capital activities as part of a growing team All other duties as assigned Knowledge, Skills and Abilities Advance proficiency in Microsoft Excel (VLOOKUP's, Pivot Tables) Ability to meet deadlines and prioritize tasks Excellent written and communication skills Ability to balance working within a team environment and working independently Strong proficiency in Microsoft Office Suite (including Outlook, Word, and Teams video conferencing) High School Diploma or equivalent is required 5 years of experience supporting multiple teams across the U.S. and in an office environment 2 years of experience supporting Executive Leadership Experience working in a global organization with foreign nationals a plus Knowledge of Human Resources a plus
