POSITION OVERVIEW
We are seeking a dedicated Administrative Assistant to join our team.
In this role, you will be essential in providing administrative support to ensure smooth day-to-day operations.
Your work will contribute to various functions, including managing office tasks, coordinating schedules, and assisting with team activities across departments.
KEY RESPONSIBILITIES Responsibilities Office Management: Handle general office duties, such as maintaining office supplies, managing correspondence, and organizing filing systems.
Communication Support: Serve as the primary point of contact for internal and external communications, including answering phones, mailing, and greeting visitors.
Travel Arrangements: Coordinate travel logistics, including booking flights, hotels, and transportation for staff as required.
Expense Tracking: Assist in tracking office-related expenses, processing invoices, and managing monthly payment communications.
Team Support: Provide administrative assistance to team members, such as preparing reports, presentations, or other materials.
Office Maintenance: Ensure the office environment is organized to be clean and conducive to productive work.
Project Assistance: Support special projects or company initiatives as assigned by management.
Marketing Serve as the point of contact for the Marketing team in PKI, managing event planning, workshops, and website updates.
Accounting Assist with monthly invoicing, bank reconciliations, and visa coordination.
Manage quarterly contract communications and ensure supplier payments are processed timely.
Office Certificates Ensure all office-related certificates are up to date and compliant with relevant regulations.
IT Coordination Act as the liaison with the IT team in Italy, coordinating all office equipment needs and resolving IT issues as necessary.
BACKGROUND AND REQUIREMENTS Background: Proven experience as an Administrative Assistant, Office Assistant, or in a similar role.Familiarity with office management systems, procedures, and equipment.Experience in handling a wide range of administrative tasks in a fast-paced office environment.Basic accounting or bookkeeping knowledge. Requirements: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.Excellent written and verbal communication skills to handle correspondence and interact professionally with team members, clients, and visitors.Strong organizational and time management abilities, with attention to detail and the capacity to manage multiple tasks simultaneously.Problem-solving skills and the ability to think critically and adapt in a dynamic environment.Ability to maintain confidentiality and handle sensitive information with discretion.Customer service orientation and a positive, team-oriented attitude.Familiarity with office equipment (printers, scanners, copiers) and basic troubleshooting skills.Ability to work independently with minimal supervision, while also being a strong team player.Flexibility and adaptability, capable of adjusting to changing priorities and demands.Basic understanding of office budgeting and expense management processes is a plus. Language skills:
Fluency in Greek and English.
Italian will be considered as plus

Your office will be located in Marousi (Athens), but you will work two days a week remotely.
