High school graduate or equivalent and four years secretarial/administrative experience.
Must possess intermediate to advanced level skill using personal computer word processing and spreadsheet applications.
Experience in administering programs, projects and/or procedures specific to the operating unit served.
May have experience in adapting procedures, processes and techniques to meet the more complex requirements of the position.
Must have good oral and written communication skill.

SUMMARY
Performs a wide range of diverse administrative and paraprofessional tasks, including entering and maintaining the Office's annual operating and capital budgets on a personal computer.
Performs various administrative duties, including drafting and typing correspondence, handling distribution of reports and correspondence, maintaining suspenses, arranging meetings, and scheduling appointments.
Prepares and maintains a variety of reports, and databases.
Participates in special projects and handles all administrative duties involving confidential information and data, and serves as back-up for the clerical function.
Handles customer complaints that are not handled through the Customer Service Office, submitting the complaint to the appropriate personnel.
May supervise the clerical function of the Office supported.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1.
Completes the administrative function for an Office to include telephone coverage, establishing and maintaining filing system, use of the personal computer for the generation of correspondence and other types of communication, and preparation and maintenance of a variety of confidential reports, graphs, tables and databases.
2.
Uses automated spreadsheet software for entering and maintaining all budget expenses that are generated from the CostCenter.
3.
Maintains the executive calendars and schedules all appointments, coordinating all logistics for meetings scheduled by the Office.
4.
Composes correspondence for distribution under the signature of the executive.
5.
Handles customer complaints that are not handled through the Customer Service Office, submitting the complaint to the appropriate personnel.
Establishes and maintains data tracking and analysis of customer service complaints.
6.
Uses automated system to prepare materials such as charts, graphs and other types of graphic materials used for executive level formal presentation.
7.
Responsible for scheduling quarterly and/or biannual planning sessions for Performance Evaluation Planning for all employees who report directly to the executive
