Job Summary Provides project support, administrative assistance and routine clerical services to Vice President, Director and office staff by performing secretarial and clerical duties. Essential Functions Handles and maintains confidential information, records, reports and personnel files. Supports annual budget process including data entry. Prepares, verifies, documents, enters and reconciles such items as invoices, expense accounts, purchase cards (P-Card), etc. in accordance with corporate procedures and deadlines. Acts as custodian of purchase card(s). Prepares, completes and submits requests for expense reimbursement and for payments to vendors. Creates and modifies presentations, graphics, reports, spreadsheets, graphs, tables, charts, manuals, guides and flow charts, updating data as necessary and entering variance explanations. Accesses SAP systems to process, verify or retrieve data. Creates and updates other databases and/or systems. Performs office administrative tasks such as tracking attendance, entering time, managing file storage/destruction and ordering non-stock office supplies. Leads or supports company initiatives such as fund-raisers, drives for non-profits and other special projects. Schedules, organizes and coordinates arrangements including catering for meetings, conferences, seminars, presentations, appointments and travel. Coordinates and schedules appointments for supervisor, manager, or director. Makes travel arrangements, including planning itineraries, booking flight reservations, and making hotel and transportation arrangements for department personnel. Provides clerical support such as faxing, photocopying and distributing mail, documents, and reports. Education Description Requires a minimum of a high school diploma or equivalent. Experience Requires a minimum of four (4) years of administrative or office related experience. Including knowledge of Microsoft Suite using Outlook, Excel, TEAMS, and SAP. Requires basic knowledge of Enterprise Resource Planning (ERP) systems. Requires strong written and verbal communication skills and a dedication to customer service. An associate degree preferred. Experience using SAP and COUPA preferred. Working Conditions Required to participate in CenterPoint Energy's Emergency Operation Plan (EOP). Able to work regular hours, with occasional or mandatory overtime; may be required to work rotating shifts. Able to work in a fast-paced environment.
