Administrative Assistant

We are seeking an administrative assistant to assist attorneys in our Business Department who specialize in representing closely held businesses and providing transactional business, real estate, and tax services.
This position may assist multiple attorneys and staff with various administrative duties, including covering for staff who are out sick, on leave, etc.

Responsibilities and duties include: Coverage for administrative assistants, file clerks, and paralegals who are out of the office.Billing entry and expense reports for partners/attorneys.Manage calendars including scheduling and confirming meetings or phone calls with clients.Help prepare documents for client meetings.Create and maintain database records.Scan documents and save emails to database.Update project lists and spreadsheets.Preparation of flow charts for clients to depict project details.Various other tasks to assist attorneys and paralegals as needed. Requirements: Minimum 2-3 years administrative experience in a law firm/office environment.College degree is preferred.Verbal and written communication skills are a must.Proficient in MS Office Suite and Windows.Word processing, organizational, time management, proofreading, attention to detail, and filing skills are essential Physical Requirements: Frequent standing and walking Sitting for up to four hours at a timeBending and stooping as needed Benefits: 8 medical plan options with employer-funded HSADental and vision plans401(k) plan with significant employer matchingGreat working environmentOrange County Register 2023 Top Workplace Schedule: 38-hour workweek including a day on FridayOn-site position
