This role is pivotal in supporting the operations team by ensuring smooth administrative operations and efficiently coordinating projects and deadlines.
Responsibilities of the Administrative Assistant Manage department calendars and schedule virtual and in-person meetingsProvide administrative support for all data programs, including coordinating marketing activitiesAssist in preparing and distributing meeting materials and communications, such as emails, agendas, readaheads, PowerPoint presentations, notes, and meeting summariesAttend meetings and conference calls as neededDocument and disseminate action items and key points from meetingsAdd project information to standard contracts and submit them to general counselSupport data projects by monitoring project deadlines and clients' payment schedulesProcess and reconcile receipts and invoicesConduct online searches to gather required informationOrder office suppliesCoordinate the development and completion of monthly data reports, Board informational reports, and Data Committee meeting materials in Word and PowerPoint formatsReview and proofread written reports, PowerPoint presentations, online surveys, and data summary tables for spelling and grammar errors and inconsistencies Qualifications of the Administrative Assistant Bachelor's degree preferredMinimum of two years of full-time experience in an administrative roleStrong organizational skills in a multi-tasking office environmentExcellent oral and written communication skillsProficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)Exceptional attention to detail Linthicum, MD (Hybrid)
