Our client is a global pharmaceutical company that is looking for their next Administrative Assistant to join their expanding team!
Salary/Hourly Rate:
$50k - $60k
Position Overview:
The Administrative Assistant will work closely with the Sales & Marketing teams to provide administrative support.
The Administrative Assistant will be responsible for maintaining the marketing event calendars.
They will maintain a log of internet requests and other customer-related activities, and analyze, provide metrics, and organize summaries to appropriate parties.
Responsibilities of the Administrative Assistant: Create/edit/modify CRM/Salesforce account and contact details regularly.
Run CRM/SALESFORCE reports - interaction, project, activity, etc.

Enter and update all CRM/SALESFORCE information provided by the sales team, as needed.
Prepare and send customer price quotes.
Coordinate and organize all aspects of PHA trade shows, sales meetings, and customer events and presentations.
Oversee storage of booths, exhibits, and event-related materials and documents as required.
Ensure that sales, marketing, and promotional materials, giveaways, samples, and other consumables are available.
In collaboration with Graphic Design and Media Developer, coordinate and manage media plans, adhere to budgets and terms of print and digital media contracts, submit artwork and material according to marketing objectives and schedules, follow through the execution of ad & promo purchase orders and related invoices, assist in the creation of post-event short reports, issue questionnaires/evaluation forms, gather and analyze data, and coordinate media and booth logistics.
Review and analyze company ad engagements, company web page traffic, internet inquiries, sample requests, customer feedback, and issue reports.
Carry out marketing mail merges/ mass-mailers to designated distribution lists, as needed.
Oversee the organization, communication, and archiving of marketing, technical, and promotional records.
Ensure lab-related files, questionnaires, giveaways, USB keys with appropriate files, lab coats, glasses, etc.
are available.
Process ad/promo, show/expo, and other marketing invoices with the finance/accounting department.
Process and complete project assignments from time to time as requested by the PHA Management team.
Coordinate travel arrangements for PHA team members as requested.
Qualifications for the Administrative Assistant: 2 - 3 years in administrative support.
Well organized and quick to adapt.
In-depth knowledge of Salesforce (or other CRM).
Strong attention to detail.
Proficient in using Microsoft Office Suite, particularly strong in Excel with experience using graphs, and v-lookups.
Good and clear communication skills.
Proactive and strong with follow-up.
Education Requirements: Associate's degree is required.
