Position Overview: We are seeking a highly organized and proactive Administrative Assistant for a short-term, 3 to 6-month assignment, with a preference for candidates who bring project management experience.
The ideal candidate will be skilled in providing administrative support while coordinating project activities to ensure milestones are met.
Familiarity with Smartsheet, Microsoft Project, or similar tools is highly desirable.
Key Responsibilities: Provide administrative support across teams, with a focus on coordinating project tasks and tracking progress.
Assist in organizing project phases and maintaining a structured project timeline to support smooth execution.
Use Smartsheet or similar project management software to track milestones, assign tasks, and maintain task lists.
Monitor project progress, flagging potential delays or risks and coordinating with team members to address issues.
Prepare and distribute regular status reports and updates for project stakeholders.
Support internal communication by facilitating meetings, taking notes, and distributing project updates to ensure alignment among team members.
Maintain accurate project documentation and records, ensuring all files are up-to-date and easily accessible.
Qualifications: Proven experience in an administrative or support role, with a strong emphasis on organization, coordination, and multitasking.
Basic knowledge of project management concepts and tools, with experience using Smartsheet, Microsoft Project, or similar preferred.
Excellent communication skills, both written and verbal, with a detail-oriented approach.
Ability to adapt quickly in a fast-paced, deadline-driven environment.
Strong organizational skills and comfort with managing multiple tasks simultaneously.
Preferred Qualifications: Experience supporting project management tasks in an administrative capacity.
Proficiency in Smartsheet, Microsoft Project, or other project tracking tools.
Strong scheduling and planning abilities, with an eye for detail.
Ability to handle sensitive information with discretion and maintain a high degree of professionalism.
