Essential Functions, Duties and Responsibilities:
* Assists with administrative support, office management services, and clerical duties necessary for the daily operations of the Assessment and Resource Center, Court Services Department, and the Court.
* Answers phone calls, takes messages, and redirects calls as needed.
* Prepares, processes, and distributes Orders, Decisions, Entries and Certificates of Service; including typing as needed, proof-reading, finalizing documents, and mailing documents.
* Schedules and calendars appointments and meetings and prepares related notices and/or letters.
* Maintains necessary records, documents, and files for the Assessment and Resource Center and Court Services Department.
* Updates information in files and Henschen & Associates as needed.
* Maintains a high level of confidentiality on all matters.
* Acts as liaison between Court departments with the public, youth and families, and with other agencies, including facilitating necessary maintenance and IT requests.
* Secures information for the assessment officers, diversion officers, probation officers, clinicians, supervisors, and directors as requested.
* Receives and screens visitors, appointments, and telephone calls, and provides information as needed.
* Orders and updates supplies upon request.
* Types various documents for assessment/diversion/probation officers and/or supervisors/directors as need or upon request.
* Prepares/Inputs information and statistics for Director of Court Services.
* Creates/Maintains forms manual for departmental use.
* Processes incoming and outgoing mail as needed.
* Conducts Court, other departments, and public errands as necessary.
* Performs other clerical duties as needed, such as filing, photocopying, shredding, typing, journalizing, dictation, and collating, and other duties as assigned.

Education and Experience: A High School Diploma, legal secretarial and/or paralegal experience, as well as knowledge and experience with Microsoft Office, Word, and Excel, are required; an advanced degree/certificate or related training is preferred; Court related, probation, probate, and/or juvenile experience is preferred.
Language Skills: Ability to read and comprehend simple instructions, short correspondence and memos.
Ability to write simple correspondence.
Ability to effectively present information in one-to-one and small group situations to customers, clients and other employees of the organization.
Mathematical Skills: Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.
Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral and diagram form.
Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills: To perform this job successfully, an individual must have experience with Data Entry, Microsoft Office, and Microsoft Excel.
Other Skills and Abilities: Ability to type 55-60 wpm; telephone techniques; ability to use an adding machine required.
Attention to detail and ability to maintain confidentiality is required.
