Summary The Administrative Assistant is a key role, responsible for assisting the branch with a variety of administrative tasks to meet the needs of clients, colleagues, and managers. Physical Demands & Work Environment • Work is normally performed in a typical interior/office work environment

\n Essential Duties and Responsibilities:Correctly documents correspondence, reports, results, and invoices for the departments following project deadlinesOrganize and maintain data related to billing and invoicingScan complete files into the document storage system at project completionScheduling of building inspectors and assist with processing of permits as neededCreate correspondence, letter reports, and other documents as requiredTake calls from clients, municipalities, building inspectors, and other intra-office personnelAnswer client questions promptly and handle specials requests regarding typing and billingSpeak eloquently and politely on the phone and provide excellent customer serviceOperate a personal computer proficiently, with the typing at least 50 words per minute (wpm)Understand and interpret contracts and invoices accuratelyFollow safety procedures and ensure complianceFunction as a strong multi-tasker and team player in a high-stress environmentCollaborate effectively with colleagues to achieve department goalsOther duties may be assigned Required Qualifications:Valid Florida Driver's License with an acceptable driving record (in accordance with our Driver's License and Motor Vehicle Record Check Criteria)Ability to pass a background check screening in accordance with Florida's Jessica Lunsford Act (or equivalent state classification)High school diploma or equivalent required; an associate or bachelor's degree in business administration, marketing, or a related field is preferredOperate a personal computer proficiently, with the typing at least 45 words per minute (wpm)Proficiency in computer operation such as Microsoft Office, CRM software and document management systemsExcellent communication skills, both verbal and writtenStrong organizational skills and attention to detailAbility to handle multiple tasks and prioritize effectivelyCommitment to regular attendance and punctualityFunction as a strong multi-tasker and team player in a high-stress environment. Preferred Qualifications:Previous experience in administrative roles, preferably in an AEC industry
