Essential Functions:
Provide administrative and project support to the Arizona R&M General Manager, Project Managers, Field Superintendents and Field Employees as needed with confidentiality and professionalism.
Responsibilities:
* Office Administration
* Manage all calls and correspondence for the Arizona office.
* Check and sort mail daily.
* Receive and ship deliveries for the Arizona office.
* Assist in making misc.
deliveries for office and/or projects.
* Conduct new hire orientation, drug testing and complete applications.
* Assist field employees with matters related to Human Resources.
* Manage and organize general office files and databases.
* Coordinate and manage general office maintenance, supplies, and IT needs.
* Attend and participate in AZ Staff Meetings.
* Maintain calendars and documents, coordinate meetings, travel reservations.
* Track and manage inventory of safety supplies.
* Help with planning company events and parties.
* Process reimbursement requests
* Project Coordination
* Manage AZ Region's project database (Cosential).
* Manage active project log and assigned staff (Excel or Bridget Bench)
* Assist with estimating by soliciting and tracking vendor bids.
* Assist project teams with new job setup, e.g., bond and job # requests, tax exemption certs, business licenses, Procore setup, etc.
* Coordinate customer background checks for staff.
* Assist in preparing project proposals / qualifications packages.
* Manage vendor database and request new accounts as needed
* Provide meeting support as needed (e.g., scheduling conference rooms, coordinating food, logistics)
* Process weekly labor hours (Exactime) and equipment use reports (Excel).
* Distribute weekly labor hour reports to project management staff
* Other miscellaneous support requested by GM and project staff
Skills & Qualifications:
* High School diploma required
* 2 years related work experience (experience in construction is preferred)
* Ability to work under pressure and with a sense of urgency
* Effective communications and interpersonal skills
* Proficient in MS Office (Word, Excel, Power Point)
* Able to prioritize and complete multiple tasks
* Detail oriented and customer service focused
Working Conditions:
100% of the time is spent in the office environment, utilizing computers (frequent use of MS Office tools (Word, Excel, PowerPoint, Access) telephones, and general office equipment.
