Overview:
Position Title: Administrative AssistantFLSA Classification: Non-ExemptReports To: Employee Relations Manager Position Purpose: The Administrative Assistant is responsible for routine daily administrative functions and duties based at local airport office.
This position supports functional areas including time and attendance administration, scheduling, expense budget tracking, handling sensitive performance and progressive disciplinary documentation, training and development, safety, employee recognition and team building programs. Responsibilities:
Principal Duties & Responsibilities: Interact with airport authorities, government agencies, airline customers and stations employeesWork schedule administration including updates to shift trades, Overtime requests, PTO, etc.Track time and attendance by use of the Attendance Control Policy (ACP) requiring daily entries onto a working spreadsheetCreate and disseminate counseling forms for employeesMinimize discrepancies and corrections prior to payroll updateProfessional liaison to Human Resources and actively seek to improve information accuracy and timelinessMonitor and manage emails and phone calls/messages on a daily basis particularly employee call-outsEnsure filing/faxing/shredding is performed on a daily basisCompose, e-type, and distribute directives, routine correspondence, or reports, such as presentations or expense, statistical, or monthly reportsAssist the Operations Managers in reviewing employees time sheets and discrepancy correctionsAssist employees in running reports for hours worked, accruals, schedules, etc.Maintain and update contact information to support communication with all necessary points of contactSupport home station, in addition to supporting neighboring stations in the regionPerform other duties as assigned Qualifications:
Competencies Ability to work independentlyAdministration support Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, and coordination of people and resourcesEffective communication; written & verbalExcellent organizational and time management skillsAbility to develop effective relationships at all levelsKnowledgeable in Microsoft Office software; Word, Excel, PowerPoint, and Publisher Required Education & Experience: Associates Degree in Business Administration or related fields; 3-5 years of administrative experience required. Additional Requirements: Possess a valid US drivers license Must pass drug screen and a 10-year FAA background check (employment/criminal)Must demonstrate excellent interpersonal and verbal communication skills in EnglishMust be able to perform in a fast paced environment while maintaining a professional and effective approach to high stress situations Work Environment This position operates in an office environment routinely using standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Physical Demands The physical demands described here are representative to those that must be met by an employee to successfully perform the essential functions of the job.
While performing the duties of this job, the employee is regularly required to stand, walk, sit, use hands, reach with hands and arms, climb stairs, balance, stoop, kneel, crouch or crawl, talk and hear.
The employee must occasionally be able to lift or move up to 25 pounds.
